About the Role:

The Executive Assistant provides executive support through a one-on-one working relationship with the President & CEO (CEO). Your job is to set her up for success by anticipating what she needs to be successful and ensuring her time is best used to achieve the organization’s goals. You will track priorities and assignments, capture and attend to many details, schedule meetings, and coordinate travel. You will serve as a primary point of contact for internal and external constituencies on all matters related to the office of the CEO. You will also serve as the liaison to the Board of Trustees and senior leadership of the organization, organize and coordinate executive outreach and external relations efforts, and oversee special projects.
This essential role requires a proactive, confident, and collaborative individual who prefers working at a fast pace and is keen to become a valued partner and trusted confidant of the CEO. You will also work closely with the organization’s senior leadership, partnering to ensure that the CEO’s priorities and organizational goals are achieved.
The position is full-time and will report directly to the CEO but will work extensively with all AFF’s senior leadership and all staff.

Your First Year
At the end of your first year, you would know that you had been successful if you could look back and see that you had accomplished the following:
  • You earned the trust and respect of the CEO through your demonstrated ability to master the demands and details of the job - especially all travel and board related matters - and have become a trusted partner and confidant.
  • You are able to understand how the CEO thinks and what she needs, in advance of her even knowing it, so she can be the leader the organization needs.
  • You and the CEO have a system to organize management of the demands on the CEO office.
  • You immersed yourself in the culture and mission of the organization, developed a broad understanding of how we work, and now have a firm understanding of AFF’s long-term goals and how the CEO’s travels and requests contribute to those goals.
  • You took a proactive approach to Trustee and VIP engagement, developed strong relationships, and built trust with the Trustees, key partners, and funders.
  • You effectively engaged senior leadership and other staff and earned their trust, respect, and commitment.
  • You ensured that Trustee meetings were well-planned, efficient, and implemented seamlessly.
  • A typical day could include preparing the CEO for her meetings for the day, talking with the President of a Fortune 500 company about their donation, coordinating the CEO’s calendar as she travels, responding to a small landowner’s inquiry, coordinating technology needs for an upcoming meeting, filing expense reports and updating the daily reminders list for the CEO.

You will be responsible for the overall administrative, logistical, and programmatic support for the CEO, including:
Executive Support
  • Completes a broad variety of administrative tasks for the CEO, including managing an extremely active calendar; arranging all aspects of complex and detailed travel plans, itineraries, and agendas; compiling documents for travel-related meetings; completing expense reports; composing and preparing correspondence.
  • Communicates directly, and on behalf of, the CEO with Board Members, donors, staff, and others on matters related to the CEO.
  • Anticipates the CEO’s needs and proactively brings together appropriate people and resources to assist in addressing solutions.
  • Understands the need to get the details of all aspects of their work right.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature, and determines appropriate course of action, referral, or response.
  • Ensures smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior leadership.
  • Serve as a point of contact and host to visitors who participate in meetings or events in our Washington, D.C. location with the President & CEO

Board Support
  • Serves as the CEO’s administrative liaison to the Board of Trustees.
  • Maintains discretion and confidentiality in relationships with all Trustees.
  • Provides well organized materials to support the Board.
  • Oversees all logistics for board and sub-committee meetings to include arranging for hotel meeting/sleeping rooms, catering, supplies, AV equipment, transportation, etc.

  • Proven ability to handle confidential information with discretion, integrity, and tact.
  • A willingness and ability to accommodate occasional night and weekend work as CEO’s travel schedule dictates.
