Responsibilities

We are looking for an experienced Executive Coordinator to support our senior executives. The ideal candidate will be a self-starter who is detailed oriented, proactive and professional. The ability to interact with staff (at all levels) in a fast pace environment. In this role you need to demonstrate a high level of professionalism and confidentiality is crucial. You will be the trusted partner to the leaders.

Position to support, Hospital President/CEO, Director of Business Development, Community Governing Board.

In this role, your main duties will be:
  • Organizing current needs, anticipating potential conflicts, and handling sensitive business information.
  • Maintain an accurate and detailed calendars, manage and log incoming scheduling requests, proactively communicate changes, as well as anticipate and respond to scheduling conflicts, rescheduling as needed.
  • Track tasks and projects to ensure appropriate prioritization is completed with respect to deadlines and organizational developments.
  • Track and reconcile monthly expense reports to ensure expense reports are completed and submitted in a timely and accurate manner.
  • Manage logistics for internal and external meetings, including researching and preparing information for use in meetings and organizing schedules of multiple participants, including external participants and ensuring meetings have space and technology necessary.
  • Handle logistics for meetings, including booking conference room space, organizing agendas, preparing materials, sending out Google question forms and feedback forms. from meetings and ensuring availability of attendees.
  • Liaising with the executives, as well as departmental administrative and support staff.
  • Answering and screening phone calls.
  • Work collaboratively and provide back-up support to the Admin Team.
  • Responsible for organizing monthly department meetings.
  • Serves as a liason to the governing board and committees.
  • Organizing scheduling for board and committees.
  • Takes and keeps minutes for the board.
  • Other duties as assigned and neccessary to support executive team.
  • Supervises other senior administrative assistants.

  • Comfortable with Google Suite and Google Calendar.
  • Exhibits self-confidence, is able to multi-task, and shows integrity and sense of humor.
  • Extremely strong time management and organization skills.
  • Sound judgment, maturity, and the ability to handle sensitive and confidential information with discretion.
  • A strong work ethic and positive attitude, with an independent disposition and a willingness to do what it takes to get the job done.
  • Professional and positive customer service-driven approach.
  • Superb interpersonal, written, and verbal communication skills.
  • Ability to work well in a team.

Qualifications

REQUIREMENTS:
  • 3 years of executive level administrative support.
  • Associates degree in Business Administration or 3 years of related work experience.
  • Excellent grammar writing and communication skills. Basic computer skills. Administrative skills. Possess good organizational skills.
