Managed by 43 full time staff and over 185 student employees, the Carolina Union builds a sense of community as a unifying force on campus and provides students the space and resources needed to put theory into practice.
The primary focus of the Executive Office Administrator is to serve as the initial point of contact for incoming telephone calls and guests to the Administration and Event Services offices responding and referring individuals, as appropriate. The position also provides direct administrative and budget support to the Executive Director of the Carolina Union and the Director of Event Services, as well as coordinates the general office calendar and provides administrative support for core programs and services for the office and the Event Services team. The position works collaboratively as a member of a support staff. This position must be familiar with the operating procedures for each of the offices located in the Carolina Union, provide research, technological and administrative support. Additionally, this person will be expected to regularly write correspondence, create reports, and supervise student Office Assistants. This position must also have the organizational skills necessary to best prioritize multiple projects by specified deadlines. A working knowledge of Microsoft Outlook, Word, and Excel is required. This position also supervises one full time Administrative Assistant. This team member must also be able to work overtime and/or weekends/evening on rare occasions.
High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate’s degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor’s degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
- Strong written and verbal communication skills including ability to effectively receive and share accurate,
appropriate information with students, faculty, staff, parents / families, community partners and office colleagues. - The position requires the ability to work in fast-paced environment with the ability to balance and prioritize multiple tasks simultaneously with appropriate sensitivity.
- Understanding of and experience applying basic budget and finance principles.
- Exceptional listening skills and the ability to respond to challenging situations in a calm and deliberate manner.
- Commitment to maintaining confidentiality and handling sensitive information in a discrete and appropriate manner; and
- Skill working as a part of a team and maintaining positive professional relationships.
- Experience with Microsoft Office suite applications, and/or other data management platform(s).
- Prior experience in a higher education setting.
- Experience working with students, faculty, staff, parents / families, and community partners to address a wide array of situations and / or concerns.
Ability to move 25+ pounds, with or without accommodation, on an infrequent basis.
