Overview:
The Executive Secretary to the Chairman of the Department of Radiology and Imaging at the Hospital for Special Surgery, integrates a diverse range of responsibilities, fulfilling the roles of an administrative assistant, research coordinator, and patient care coordinator, supporting Dr. Hollis Potter in her capacity as Coleman Chair of MR Research, Chairman, Radiology and Imaging, Senior Scientist, and Professor of Radiology, Weill Cornell Medical College.
Responsibilities:
- Provide administrative support to the Chairman of the Department of Radiology and Imaging. Administrative responsibilities may include the following:
- Screening patient and referring clinician calls and emails, and helping to address questions and concerns, sometimes of a complicated and sensitive nature
- Maintaining her calendar, scheduling meetings and organizing travel for invited speaking engagements
- Preparation of response to compliments and complaints regarding department staff (both from patients and additional HSS departments)
- In the absence of the Associate Director, serve as back up in coordinating clinical schedule and on-call schedule modifications and approvals. Providing coverage in the Director’s absence or during particularly busy times
- Aid in the management of Dr. Potter’s active research protocols, and facilitate the preparation of new applications to the HSS IRB (through the e-cap system) alongside the Administrative Research Manager
- Helping to coordinate stat/add-on cases in the MRI Division
- Transcribing dictated manuscripts, patient reports, correspondence and NIH reviews, taking care with the appropriate scientific and clinical language
Qualifications
- Minimum 3-5 years of experience working in healthcare administration
- Bachelor’s degree required; Master’s degree strongly desired
- Ability to prioritize and handle multiple tasks simultaneously, often under a deadline and in a fast-paced environment
- Strong attention to detail, with excellent organizational and interpersonal skills
- Strong customer service orientation
- Present and maintain courteous and professional demeanor
- Ability to work in a team and coordinate with senior level administrators
- Ability to independently resolve issues and handle unexpected challenges
- Excellent verbal and written communication skills
- Excellent computer skills; Knowledge of Microsoft Office, PowerPoint, Outlook and other office automation tools and systems
- Ability to adjust to changing situations, work assignments and work schedule
