Position Summary:
This Facilities Coordinator (FC) is responsible for the complete oversight, maintenance, of our Charlotte, NC office. The Facilities Coordinator is responsible for all relevant vendor and tenant management.
FLSA Status: Salary/Exempt
Remote Work Classification: In Office (Not Eligible)
Duties and Responsibilities:
- Serves as the main point of contact for the office for any traveling employees, service/maintenance requests, vendors, building security, building property management.
- Responsible for maintaining the professional appearance of the building lobbies, reception areas, break areas, print stations, conference rooms, restrooms and other common areas at all times through regularly scheduled “walk-throughs.” Ensures routine maintenance and repairs are completed, as needed; schedules routine inspections and emergency repairs with outside vendors; ensures proper security measures for the workplace.
- Manages vendor relationships with internet providers, mobile phone provider, coffee and water machine vendors
- Assists with setting up offices/desks for new employees including but not limited to computer + monitor set up, name badges, supplies, etc.
- Maintains kitchen: cleanliness, organizing, ordering, and stocking office snacks, maintains the coffee and water machines and schedules routine maintenance.
- Maintains office supply inventory, purchases all office supplies and office consumables.
- Responsible for the ordering, inventory, and cost management of various building supplies and consumables.
- Assists with the planning and set up of corporate events such as meetings, trainings, parties, etc. on an as needed basis.
- Reports property damage, theft, and other related issues to the insurance companies and proper members of management.
- Managers and maintains day-to-day operations of the main office facilities, monitors safety and cleanliness
- Other duties as assigned by members of management.
Position Requirements:
- 5+ years of hands on experience working as a Facilities Coordinator or a Facilities Manager.
- High School Diploma or GED equivalent is required, Associates or bachelor’s degree would be highly preferred.
- Proven experience with vendor and tenant management is required.
- FMP (Facilities Manager Professional) Certification (or other relevant certifications) preferred, but not required.
- Must have good overall computer skills with the ability to work with Microsoft Office.
- Must be highly organized with the ability to prioritize tasks and consistently meet deadlines.
- Excellent overall verbal and written communication skills.
- Must work well in a team-oriented environment and enjoy service focused type of work.
- Must be flexible in schedule with the ability to assist in other areas when necessary.
- Ability to effectively handle multiple projects simultaneously.
- Customer service oriented-pleasant, friendly, cheerful, energetic, courteous, and professional at all times.
- Must demonstrate the ability to follow instruction and take direction.
- Ability to work efficiently with little or no supervision.
Physical Requirements:
- Works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties.
- Noise level in the work environment is typical of that of an office.
- Incumbent may encounter frequent interruptions throughout the workday.
- Regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 50 pounds.
