The Administrative Facilities Coordinator is responsible for coordinating the workload for facilities clerk personnel, ensuring that their work is performed to the highest standard and in a timely and efficient manner. Communicate and coordinate schedules from outside vendor work to accommodate the business needs and should ensure vendor compliance with stated service level agreements. Performs first and second tier resolution of problems, escalating as necessary. Provides for a comfortable and attractive physical work environment.

Job Responsibilities/Duties

  • Responsible for the administrative support of the Facilities Purchasing Coordinator and adhere to the company’s policy and procedures for all company purchases.
  • Assist with vendor calls, follow ups, request for quotes, pricing verifications, filing and invoice packaging of purchase orders for Finance.
  • Assist with mail room duties including the pickup, delivery, sorting, date stamping and batching of incoming / outgoing mail. Along with filing, copying, bulk mailings and projects as needed. Daily operation of basic office equipment such as copiers, faxes, and postage meter. Identify and correct problems with office machines, call repair personnel as needed.
  • Provide both setup and breakdown of meeting room areas and supplies.
  • Provide clerical support services to departments as requested. Primarily support UM / QM, Credentialing, Customer Service, Provider Relations, Business Services, and provide relief for Reception area as needed.

Qualifications

Minimum Education: High School diploma or equivalent.

Minimum Experience: One (1) year within a healthcare facility or related environment.

Req. Certification/Licensure: None.
