JOB SUMMARY

SmartStop® Self Storage is looking for an enthusiastic individual to join our Facilities Team. We are looking for a part-time Facilities Coordinator who will help manage a high-volume of facilities projects supporting our property locations across the US and in Ontario, Canada. The Facilities Coordinator will work under the supervision of the Director of Facilities, located at our corporate office in Ladera Ranch, CA.

JOB DUTIES AND RESPONSIBILITIES

Develops and maintains nationwide vendor network:

  • CAPEX vendors
  • Solicits planned CAPEX & R&M bids from local/regional/national vendors
  • Vets vendor qualifications & minimum requirements

Planned CAPEX projects, unplanned capital projects (OBR’s), safety, & minimum standards:

  • Coordinates development & vetting of capital and R&M scopes as needed for planned capital projects and unplanned capital/OBR’s

Upon approval of specifications & scope by Director of Facilities:

  • Generates approved capital projects contract for execution by vendor
  • Ensures vendor documentation is received for the record
  • Coordinates scheduling with vendor & operations field team
  • Sends internal communications to OPS field team & internal/corporate stakeholders
  • Ensures projects are completed as per agreement, and that our minimum standards & specifications are met
  • Enter documentation needed for final invoices in Axxerion and Avid, (Our operating systems)
  • Enter assets for new properties in Axxerion
  • Update inspections in Axxerion when received.

Assists with document flow & completion of:

  • Assists with all federal, state, local regulates inspections, requirements, and notices to comply
  • Assists with all internal lender requirements/corrections

New site onboarding:

  • Manages solicitation of vendors, exterior illuminated signage, interior office conversions; coordinates transition of all facilities agreements

REQUIRED QUALIFICATIONS

  • High School or equivalent education required.
  • Two years of professional experience that includes at least one year of administrative assistance.
  • Ability to take ownership of large multichannel projects from start to finish
  • Collaborative in nature
  • Ability to handle many projects simultaneously
  • Ability to work under pressure and to organize and meet deadlines
  • Strong interpersonal communications skills

Nice to Have Qualifications

  • Prior contracts, vendor relations, project management, construction, facility management, or self-storage experience preferred

  • Ability to work both indoors and outdoors. Most work tasks are performed indoors.

  • Must have finger dexterity to be able to operate office equipment such as computers, printers, 10-key adding machine, electric typewriter, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers, and other office equipment as needed.
