This position is part of the Critical Facilities organization within End User Technology Operations. The Facilities Management Specialist/Office Space Planner will be the liaison with office areas residents, visitors and the service providing teams for general office area’s needs. The Facilities Management Specialist/Office Space Planner will facilitate Enterprise Tech seat assignments, oversee small to medium size repair and renovation projects, process security related requests and oversee performance for general facilities requests, maintenance and services. The Facilities Management Specialist/Office Space Planner writes all the processes and assists with training as needed. This position oversees the maintenance of office furniture, office appliances, janitorial services, and interior landscaping needs. The purpose of this role is to provide a well maintained, well serviced office area to promote our residents and visitors to have a productive and enjoyable office environment.

The Facilities Management Specialist/Office Space Planner will be the primary contact for seat assignments and office areas changes. The Office Space Planner will work with the rest of the Critical Facilities staff and work on independent projects as assigned. The successful candidate will:

  • Provide support to the Enterprise Technology Customer Base and to Enterprise Technology team members

  • Maintain a level of professionalism while engaging with clients

  • Be the liaison between site residents / visitors and other support teams; Building & Property Management, Security, Fire-Life-Safety, etc.

  • Supervise, process and provide support for physical security requests (access and keys)

  • Analyze, process, track and audit general office services

  • Manage assigned workflow tasks in order to provide timely turnaround to clients, timely resolution and/or escalation of client issues

  • Troubleshoot, document and process technical issues using the Enterprise Technology ticketing system

  • Interface with other team members in the Enterprise Technology organization to support deployments, technology evaluations, or other efforts requiring facility involvement

  • Author, update and maintain all documentation for areas of responsibility; policies, processes, procedures, etc.

  • Provide material and support monthly, quarterly, semi-annual and as requested reporting and service audits

  • Provide Critical Facilities tracking and reporting (operational, financial, capacity, materials, etc.)

  • Oversee vendor management of office furniture designers, suppliers, and low voltage services

  • Document and track general and environmental issues using the Property Management’s ticketing system

  • Oversee and facilitate material ordering

  • Oversee and support media destruction and disposition of assets (Property Control / eWaste / etc.)

  • Manage facility infrastructure repair, expansion and replacement projects and initiatives

  • Maintain site floorplans

  • Support lease negotiations and changes

  • Oversee janitorial and landscaping services

  • Assist in Facility operations and maintenance activities

  • Perform financial management for services; contracts, purchase orders, invoicing, forecasting, accruals, etc.

  • Coordinate special events and activities

  • Liaison with Fire-Life-Safety teams, build and support evacuation plans

  • Follow Enterprise Technology support policies, processes and procedures

  • Follow Critical Facilities policies, processes and procedures

  • Participate in training programs

  • Work on tasks assigned by DC Manager or Lead
