POSITION: Financial Grants Administrator

FTE/FLSA: Full-Time / Exempt

SALARY: 45,052 - 65,326/ Annually

Function: Under the general direction of the Director of Finance, this position is responsible for managing, tracking, and billing private and government funded grants.

Duties and Responsibilities:

  • Prepare and submit grant billings to granting agency.
  • Responsible for ensuring that program grant managers understand the compliance directives issued by the funder.
  • Ensure the proper spending of grant funds.
  • Ensure the proper recording of grant transactions for Financial statement preparation.
  • Assist in development of grant budgets during the application process and track accordingly as grants are awarded.
  • Assist in the development and/or review subcontracts and MOU’s related to awarded grants.
  • Prepare monthly reports to internal staff to assist in monitoring the financial performance of the grant. Review the reports with staff in person to ensure understanding of the information.
  • Prepare financial reports to the funder as required.
  • Monitor grants and collaborate with personnel on their deadlines for periodic progress/final reports and grant billings.
  • Work closely with the grant writing personnel to manage grant documentation and implementation information.
  • Keep informed of programmatic and organization need for funding to better assist grant writing personnel.
  • Inform the Director of Finance, program staff, and grant writing/Development staff of any issues or concerns with grants.
  • Coordinate and prepare for grant and financial audits.
  • Responsible for working effectively with key management, staff, and volunteers with Community Food Bank of Southern Arizona (CFBSA).
  • Assist in evaluating and improving the fiscal administration of grant programs.
  • Ensure uniformity and accuracy of transaction coding in the financial system.
  • Ensure adequate internal controls related to grants.
  • Ensure compliance with state and federal regulations and law.
  • Ensure compliance with funding requirements.
  • Assists in the writing and interpretation of sub-award terms and conditions.
  • Other duties as assigned.

Knowledge, Skills, and Abilities:

Minimum Qualifications

  • Bachelor’s Degree in Accounting or equivalent experience.
  • Accounting background or a deep understanding of accounting principles and reporting.
  • Experience with grant agreements and contracts.
  • Experience in accounting and working with internal controls.
  • For insurance purposes, must be at least 21 years of age; possess a current and valid Arizona Driver License and a safe driving record.

Preferred Qualifications

  • Experience with standards and compliance issues related to NPOs and grant funding.
  • Experience with government grant regulation and compliance requirements.
  • Experience in tracking, monitoring, and administration of grants and contracts
  • Exceptional organizational, time management, and recordkeeping skills.

Physical Requirements:

This job is considered Light work under the Code of Federal Regulations, Section 416-967: (b) Light work. Light work involves lifting no more than 20 pounds at a time with frequent lifting or carrying of objects weighing up to 10 pounds. Even though the weight lifted may be very little, a job is in this category when it requires a good deal of walking or standing, or when it involves sitting most of the time with some pushing and pulling of arm or leg controls. To be considered capable of performing a full or wide range of light work, you must have the ability to do substantially all of these activities. If someone can do light work, we determine that he or she can also do sedentary work, unless there are additional limiting factors such as loss of fine dexterity or inability to sit for long periods of time.
