GENERAL SUMMARY:
Channing Division of Network Medicine (CDNM) of the Department of Medicine was formed in July 2012 and is the largest research-only division within the Brigham and Women’s Hospital with approximately 250 employees. The Division is comprised of three scientific units: Systems Genomics and Genetics, Chronic Disease Epidemiology, and Systems Pathobiology. Total annual research expenditures for FY21 were over $49 million and total grant submissions was approximately 160. The Division is home to three Core Facilities. The Financial Analyst/Coordinator will be a key member of the Administration team and will work closely with various key stakeholders of the Division, Core, and Research accounts. The incumbent will work closely with the Division Administrator on sundry accounts management, Core teams and post-award Grants Administrators on Core-related finances. The incumbent will also work closely with post-Grants Administrators to create advanced and sundry accounts and submit journal entries. PRINCIPAL DUTIES AND
RESPONSIBILITIES:
- Work closely with the Division Administrator to manage Division’s sundry funds, including tracking of all expenses, forecasting, processing reimbursements, preparing and submitting invoices, depositing checks, and reconciliating funds on a monthly basis. Provide the DA with a monthly report of all sundry balances. Work closely with post-Grants Administrators (GAs) and Research Management team to correct any expenses that are incorrectly charged to the division sundry funds.
- Work closely with the Channing Division of Network Medicine (CDNM) Computer Core team and assist with preparing and sending quarterly invoices and tracking and maintaining the core’s billing log and general ledger, ensuring payments are made by third parties. In addition, the encumbrance will handle the procurement of supplies and services, submit journal entries for the core in collaboration with the core manager and according to established institutional policies and procedures, and communicate with core users relating to financial inquiries. Track and prepare budget-versus-actual report on a monthly basis.
- Work closely with the post-award GA/financial manager of the core and assist the Dana Farber/Harvard Cancer Center Genotyping and Genetics Population Sciences Core to submit journal entries as needed.
- Prepare new Billing Agreements in Insight.
- Create advanced authorization and sundry accounts in Insight to receive new funds to the Division.
- Submit residual balance transfers and revenue journal request to Research Management.
- All other duties as assigned.
QUALIFICATIONS
- A minimum of a bachelor’s degree.
- Experience in financial analysis and projections; experience with federally funded research grants preferred.
- Must be proficient in Excel.
- Flexibility and willingness to assume new tasks and special projects.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
- Ability to multi-task and prioritize tasks to easily assimilate a large quantity of information, thereby assuring smooth and efficient conduct of several projects simultaneously. This is followed by the ability to constantly re-prioritize due to the demands of complex and interconnected projects.
