Pay range is between $25.40 - $38.16/hr, depending on years of relevant and like experience.

POSITION SUMMARY

Boulder Community Health Foundation is a separate non-profit organization that raises and manages charitable gifts in support of Boulder Community Health.

To accomplish these overall development responsibilities, the incumbent provides data entry support, database management and analysis, accounting support, accounts payable responsibilities, scheduling and administrative support, event management support, receptionist duties, and all other MS Office support for the Foundation office.

The Foundation has a staff of six, requiring each employee to accept several office functions that may be delegated differently in another setting.

JOB QUALIFICATIONS

Education or Formal Training

  • Bachelor’s degree in related field preferred, relevant work experience may be substituted for degree

  • Excellent communication and interpersonal skills; ability to work under pressure, understand and maintain confidentiality. An understanding of cultivating and stewarding internal and external relationships.

  • Basic accounting and understanding of data management concepts required.

  • Conceptual and applicable knowledge of sophisticated fundraising and accounting software (Raiser’s Edge, Financial Edge) and all MS Office applications including Outlook and PowerPoint.
  • Advanced clerical and administrative support skills. Coordination and scheduling within a fast paced environment. Interaction in person and by phone with high touch donor base, board of trustees, and other community stakeholders.

Experience

  • Two to five years administrative support experience highly preferred.
  • Advanced technical skills in MS Office and remote work force tools (WebEx, ZOOM, GoTo Meeting, etc) required.
  • Fundraising, non-profit, hospital or health care related experience highly desirable.
  • Experience with Raiser’s Edge and/or Financial Edge highly desirable.
  • Experience with organization of and support of non-profit board related activities and meetings highly desirable.
  • Experience providing support to multiple team members in a fast-paced environment whom require different levels of support highly desirable.
  • Experience providing administrative assistance to high level executives in a fast-paced environment highly desirable.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative Support

  • Supports BCH Foundation President. Also provides administrative support for other members of the Foundation staff.
  • Manages and coordinates Foundation President’s schedule, schedules meetings with internal and external groups or stakeholders and donors. Schedules for other members of Foundation staff as needed.
  • Coordinates and supports communications with the Board of Trustees,
  • Attends meetings and various functions of the Board of Trustees. Communicates with Trustees regarding scheduling of meetings and prepares all Board and Committee agendas, meeting packets (electronic and printed) and minutes.
  • Materials management and supplies ordering.
  • Demonstrates initiative and independent judgment by responding to all email and phone calls within timely manner. 24-hour turn-around time preferred.
  • Responsible for booking of rooms, catering, and event services as needed.
  • Has unlimited access to and responsibility for confidential information. Projects a professional, service-oriented image in representing the Foundation and Boulder Community Health.

Operational Support and Clerical Duties

  • Manages data & gift entry into Foundation database with a high level of detail, timeliness, and consistency. Follows coding procedures and reports out as necessary.
  • Follows and assists in standard invoicing process.
  • Manages the donor acknowledgement process and prepares all acknowledgment letters (weekly), and all pledge reminders (monthly).
  • Responsible for timely notification of memorial and tribute gifts as requested by family members/donors.
  • Supports and participates in developing the Foundation’s long-range and annual fundraising programs.
  • Assists with the monthly and year-end accounting close which includes the preparation of the monthly financial statements. Assist with the Foundation’s year-end audit and preparation of the form 990.
  • Performs the day-to-day financial activities and works closely with BCH accountant to help prepare cash receipts, accounts payable, cash disbursements, and general journal entries.
  • Works proactively with Foundation Director in developing and implementing various office, accounting, and data management procedures. Utilizes independent thinking where established procedures and precedents do not always apply.
  • Supports editing, proofreading, and copy writing efforts as assigned.
  • Plans and coordinates special events as assigned..

Other

  • Supports, promotes, and demonstrates ENCORE! Values in relating with Foundation President, Foundation Director, other employees, trustees, volunteers, prospective donors, patients, and medical staff.
  • Demonstrates commitment to the Foundation and Boulder Community Health goals and objectives.
  • Employees are expected to comply with all regulatory requirements, including Joint Commission Standards.
  • Is familiar with organization, department, and job specific Environment of Care areas, including Life Safety, Utilities Management, Hazardous Materials Communications, Emergency Preparedness, Infection Control, and Medical Equipment failure.
  • Adheres to Standard Precautions as appropriate.
