Purpose

Perform administrative, clerical, and reception duties for the front desk and the Family Resources Coordinator department at the Bellevue campus.

40 hours a week; 4-6 weeks off per year

Principal Duties & Responsibilities

Duties and responsibilities may include, but are not limited to the following:

· Create welcoming atmosphere and ensure smooth front desk communications

· Execute front desk duties; opening/ closing; check-in clients for appointments, greet visitors and notify staff of guests; answer and route incoming telephone calls and voice messages to appropriate contacts; maintain front desk area, staff resource room, staff lunchroom, and other front desk duties as assigned

· Maintain front desk files and process incoming mail

· Manage KidVantage orders for Bellevue families including distributing ordered items to staff members, maintaining Bellevue KidVantage accounts and act as KidVantage liaison

· Update and maintain current staff lists and safety information in therapy rooms and classrooms (refilling first aid, updating staff lists and updating classroom bulletin boards when needed).

· Maintain Family Cost Participation files and Evaluation paperwork packets

· Provide administrative support to the Family Resources Coordinator department and other duties as assigned by the Senior Office Manager

Preferred Education & Experience

· High School Diploma

· Administrative and/or reception experience required

· Experience working with diverse populations and bilingual skills preferred

Minimum Prerequisites

  • Pass Washington State DSHS criminal history and background check and FBI fingerprint check
  • Pass tuberculosis test
  • Ability to maintain a regular work schedule
  • Customer service demeanor
  • Demonstrate organizational skills, ability to follow through on assignments on time and with accuracy, provide excellent written and verbal communication, keep excellent written and electronic documentation
  • Strictly maintain confidentiality of all client information
  • Demonstrate proficiency in using MS Office
  • Ability to show proof of current immunizations, including COVID-19 and MMR vaccine or titer test
