The Global Operations Coordinator will be responsible for the execution, of ongoing tasks in {HR, Facilities & Admin, Global Operations} and coordinate the administrative duties in support of organization-wide operations. The coordinator will maintain IREX databases, calendars, and other internal information systems in the area of responsibility. Coordinate logistics support for Executives and Program Leadership as assigned. Coordinate and direct offices services, such as the procurement offices supplies, budget, and financial administration.

Reporting to the Senior Global Operations Officer, the Global Operations Coordinator provides operational, coordinating, administrative support to Headquarters and Country Offices. The Global Operations Coordinator will work closely with Field Finance, IT, and HR Regional staff to ensure the coordination of meetings, overlapping tasks; support the Senior Global Operations Officer with new Country Office start-up and openings; prepare documentation for Country Office registration; facilitate meetings for country Office close-out processes; and assist with IREX worldwide operations and office compliance as assigned in their country portfolio. Support the Senior Global Operations Officer in ensuring that country Office staff are trained and educated on IREX’s policies.

Your Background & Skills

  • A Bachelor’s degree related to international development
  • 1-3 years of relevant work experience; may include a combination of part-time, internships, etc.
  • Proven experience managing multiple administrative tasks in a demanding, time sensitive work environment
  • Experience conducting research and ability to proficiently articulate findings in the English language
  • Proactive and comfortable with contemporary digital platforms for collaboration and communication;
  • Proficient in Microsoft office products, including and especially Excel;
  • Clear, succinct and compelling communication skills, both oral and written;
  • Outstanding interpersonal and intercultural skills;
  • Very strong time management, multitasking, and organizational skills; and
  • Speaking, reading and writing proficiency in English required.
  • You must have unrestricted authorization to work in the United States.

Your Daily Tasks

  • With supervision, provide input to internal/external reports, presentations, and other products.
  • Provide logistic support for all program needs, may include event planning, travel arrangements, schedule meetings, etc.
  • Contribute to monitoring and evaluation activities including data management and analysis if assigned.
  • Support program internal and external communication; tasks may include, the management of email inboxes and program contact information, draft written communications, contribute to program communication tools (newsletters) and social media efforts.
  • Draft correspondence with stakeholders. Guidance and/or approval before engaging stakeholders may be required.
  • Support the proposal process, by managing specific proposal tasks; tasks may include, research (competitive landscape, desk research), past performance, write assigned sections, contribute to proposal strategy and design as appropriate, observe review meetings, etc. Join leadership, when invited, in donor project meetings to increase awareness and relationship building. Demonstrate a fundamental understanding of the proposal process.
  • Accurately perform financial administration tasks (check requests, sub-award approval level, PAM, vendor RFP, etc). Develop a sound understanding of the purpose and reason for each required task consistent with policies.
