In support of Planned Parenthood of Central and Western New York (PPCWNY)’s mission, the Health Informatics Specialist will serve as the system administrator for all Health Informatics including Electronic Health Record, practice management system, online appointment scheduling, patient registration, patient portal, reporting tools (Tableau, etc.) and any other programs or services that enhance the patient experience or the quality of our health programs

Essential Functions

  • Serve as EHR specialist for Shared Service Affiliates
  • Accountable for analysis, building, testing, training, and implementation of EMR
  • Lead EHR implementation/operational requirements in cooperation with designated health center staff on the system configuration and maintenance of the NextGen EHR product
  • Configures, tests, and validate system areas including, but not limited to, practice level templates, EHR system templates, EHR file maintenance, document management, system administration and lab interfaces with appropriate staff and OCHIN
  • Configures and maintains PP Bill Code map, supports Fee Ticket Maintenance; assists Billing in maintaining meta tagging on CPT code level. Supports and troubleshoots Sliding Fee Schedule (SFS) and adjustments for Billing office.
  • Documents meta tags and troubleshoots meta tags with OCHIN
  • Provides electronic prescribing (eRx) and ePCS (eRx of Controlled Substances) training, security validation, and filing of required forms for NYS Department of Health, Bureau of Narcotics
  • Reviews, implements and tests OCHIN updates for both enterprise and practice specific configuration issues that arise. Offers solutions to configuration issues and escalates issues to the Health Center Managers if OCHIN issues cannot be resolved
  • Based on release notes provided by OCHIN or EHR vendor, tests software hot fixes and upgrades in demo or test server before installation in live production base
  • Documents all process changes to comply with change management policies

EHR Document Management

  • Maintains and/or creates all paper and electronic document types including but not limited to; consents, lab results, diagnostic imaging, procedure records, patient history, visit forms, system downtime forms and more as required by PPFA, NYSDOH, Title X and other governing body requirements. Builds EHR documents for e- signatures. Works with Risk and Quality teams as necessary.
  • Manages scanning quality control systems. Troubleshoots problems and issues with NextGen ICS suite. Works with Health Center Manager and staff to manage document batch scanning process.
  • Documents the use and changes associated with the NextGen ICS suite and template changes for Knowledge Base Module upgrades

NextGen File Maintenance Configuration

  • Maintains and/or creates Service Item Library items: additions, price changes, Payer Alt CPT4 and/or Alt Rev
  • SIM Exceptions: updates non-fac amt and/or modifier(s) in existing SIM Exceptions; adds and configures new SIM Exceptions
  • Payers: updates Alt Payer SIM Additions and deletions by Location
  • Providers: – adds or updates Practice > Payer Rows
  • Adds new locations and configuring
  • Adds new providers and configures insurance releases
  • Maintains Bill Code Mapping

Support End Users

  • Logs and follows up on support tickets as required. Assists in responding to end user questions, including facilitation of problem solving and resolution
  • Coordinates regularly with the Health Center Managers, Clinical Trainer(s), and other identified staff to assess progress/testing of configuration work and ensures all HIPAA standards and Quality Assurance requirements are followed in the system
  • Assists in user setup/deactivations

Training and Reporting

  • Assistants shared service teams with EHR reporting needs (for example, “Encounter Audit” or “Follow Up Plans Missing Labs”)
  • Creates and/ or supports the training of the EHR super users as required by the Health Center Managers, Clinical Trainer and of all EHR-users as necessary
  • Supports Health Center Managers in on-going clinical EHR training
  • Supports Health Center Managers in the creating and editing of training documentation. Attends end user trainings as a content expert
  • Supports IT Help Desk and application support/training for all users
  • Participates in all OCHIN and NextGen trainings associated with EPM and EHR
  • Supports IT in documentation required for training, configuration/build, testing and validation of the EHR

Support related Health Informatics

  • Supports each affiliate in meaningful use measures and compliance.
  • Configures, tests, and maintains software/hardware interfaces with EHR, including Patient Portal, NextGen Share, Lab/Ultrasound Interfaces, OAS, etc.
  • Works with various outside vendors as needed
  • Regularly reviews lab systems including troubleshooting of labs in the Rosetta Holding Tank

  • Assumes additional responsibilities and performs other duties as assigned by the Regional Director of IT

Qualifications

Applicants must possess the following qualifications (or equivalent combination of education and experience):

Education—

  • Bachelor’s Degree with a focus on Health Informatics preferred or equivalent 3-5 years’ work experience in a medical office environment

Experience—

  • NextGen experience is strongly preferred, familiarity with Epic or eCW a plus
  • SQL experience strongly preferred but not required

Knowledge, Skills, & Abilities

  • Possess advanced knowledge of a wide variety of computer software including billing, practice management and Microsoft Office Suite
  • Ability to maintain strict patient confidentiality, work with diverse communities, and possess a warm, caring manner
  • Possess good organizational skills, attention to detail, and self-motivation
  • Ability to handle multiple tasks simultaneously, prioritize tasks and manage time effectively to meet deadlines
  • Must be able to perform well under stress, work independently and work effectively with peers and internal customers
  • Must show a commitment to respecting and learning about the cultural differences, backgrounds, historical traumas, and intersectionality of all colleagues, patients, clients, customers, and vendors
