Department Summary
The College of Health and Public Service (HPS) at the University of North Texas, distinguished as one of the few Tier One research universities designated as a Hispanic-Serving Institution (HSI), prepares graduates to address diverse and complex social issues such as aging, disability, disaster management and recovery, criminal justice, health disparities, and public safety, and find solutions to challenges in public administration, public health, and urban design. Position Overview
This position assists the Dean of the College of Health and Public Service. This position is responsible for providing executive, administrative and analytic support to the Dean and Associate Deans in the college. Responsible for a variety of tasks within the college that support the deans including special events, correspondence, reimbursements, and calendar maintenance. Position also serves as office manager, and is responsible for oversight and hiring of front desk student workers. The executive assistant is expected to take a leadership role within the college to support departmental administrative staff. This position requires the ability to conceptualize, plan and organize multiple assignments effectively, as well as knowledge of University and academic policies and procedures.
This position serves as HR Liaison and oversees various HR processes in the college including assisting with faculty/staff hiring, employee records management, and faculty appointments, promotion and tenure. Position requires understanding of the academic calendar and independent support of annual activities such as committee appointments, tenure and promotion schedule and annual review for both faculty and staff.

Minimum Qualifications
Bachelor’s Degree and five years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience.

Knowledge, Skills and Abilities
  • Advanced MS Office skills.
  • Knowledge of accounting/budgeting procedures.
  • Demonstrated ability to effectively communicate verbally and in writing at an exemplary level
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats.
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness.
  • Skill in developing and maintaining good working relationships.
  • Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties

o
Provide executive administrative assistance to the Dean, Associate Deans and Dean’s Office staff. Relieves Dean of routine clerical and administrative work.

o
Calendar Maintenance: Sets appointments, coordinates meetings, etc. Compiles information for meetings, conferences, etc. as needed. Uses good judgment for scheduling. Responds to requests for meetings with the Dean/Associate Deans. Screens calls for Dean requesting appointments, using good judgement to schedule, or contact appropriate area for appropriate contact.

o
Coordinate activities, researches problems/solutions as requested by Dean and others within the Dean’s Suite. Serves as resource for others in College for seeking out solutions to issues.

o
Liaison for Dean to parents, students, faculty before meetings are scheduled with Dean. Directs to appropriate person within College or resolves issue using UNT and College policies.

o
Posts hourly student job listing for College of Health and Public Service Dean’s Site via the Career Center; works with Career Services to ensure postings are accurate; completes necessary paperwork for College to hire work study students. Files Work Study forms with Career Center.

o
Maintain records, files and data for Dean; completes Dean’s Travel Requests Reimbursement; completes Dean’s Office purchasing via requisition or Pcard; serves as backup for payroll forms. Maintains confidentiality of information.

o
Maintains contact and liaison with other University Executive Assistants.

o
Leads College administrative staff group.
