The Boston Ballet HR Operations Assistant is an hourly role reporting to the Director of Human Resources. The role provides support across the spectrum of HR services; is accountable for ensuring accurate, timely HRIS administration; and serves as the primary point person for operational HR responsibilities.
This position is considered full-time and hourly.
KEY RESPONSIBILITIES
- Provide operational support for recruiting to ensure efficient candidate management, including maintaining job postings, placing job advertisements, coordinating interview schedules, conducting reference checks, running background checks and assisting hiring managers with our ATS as needed
- Ensure all HR onboarding steps within the Paylocity module are received and accurate and approved and progressed to Payroll Specialist in a timely manner including I9s, benefits administration and termination documentation.
- Assist new hires with payroll and time & attendance system log-in and trouble shooting
- Execute all aspects of 403(b) and benefits administration including but not limited to open enrollment, routine benefits questions, researching inquiries, benefits enrollment, compliance reporting, COBRA and other HR program administration, invoice verification, and distribution of ongoing benefits communication to staff
- Maintain personnel files ensuring compliance, ensure upkeep of Paylocity staff files and org chart
- Process workers comp claims; maintains and provide OSHA reporting, ACA tracking, staff listings and other ad-hoc reporting as needed
- Provide operations support for talent/recognition programs including training completion tracking, annual review, annual employee inclusion survey and other key HR programs; provide process improvement recommendations
- Schedule exit interviews and prepare off boarding documentation
- Serve as first line of contact to employees to answer questions on Boston Ballet policies, procedures, and benefits.
- Assistance with all other HR Department activities as needed
- Bachelor's degree or equivalent experience is required
- A minimum of 2 years of administrative experience in an HR environment
- Familiarity with HRIS; Experience with Paylocity, strongly preferred
- Microsoft skills: Word, Excel, Teams and PowerPoint
- Knowledgeable with general employment laws and practices and/or where to go to find the answer
- Detail oriented
- Flexible and ability to multi-task
- Exercises a high degree of confidentiality, professionalism, poise, tact, and diplomacy to accomplish work objectives
- Research ability, a desire to collect information and data relevant to a situation
- Curious nature with aptitude for problem solving, the ability to identify root cause, realize, and implement solutions
