Overview

The Human Resources team at the Institute for Defense Analyses (IDA) have an exciting HRIS & Records Administrator opportunity available for an individual with strong attention-to-detail skills and an analytical mind. The HRIS & Records Administrator plays a critical role to ensure IDA's data integrity through data-entry, audits and technical system support. Under general supervision, working closely with various functional groups within HR, this position supports the administration of the Human Resources Information System (HRIS) and associated software applications in support of the HR Directorate activities. Responsible for data integrity throughout HR to include data input, verification and auditing. Prepares or runs routine and ad-hoc reports and summaries. Assists to develop, test, and implement HR requirements, upgrades, new system applications and requests; participates in fit analysis and conducts audit and quality assurance to ensure data integrity. Responsible for file and records maintenance.

Responsibilities

  • Responsible for data and records administration for employee record keeping and file maintenance, providing data input, data and task processing, verification and reporting.
  • Participates in the on-going support of Epicor HRIS, Taleo Applicant Tracking System, and other HR software applications, including set-up, problem-solving, preparing and testing new releases and implementation of upgrades. Assists and collaborates with HRIS staff and other HR functional areas in support of current and enhanced system capabilities and data input/audit/verification, tracking and reporting with all systems, employee and manager self-service, IDAccess, and other applications.
  • Prepares and runs routine and special reports; assists with the compilation of data on areas such as staffing levels, employee demographics, consultants, turnover data, historical reporting and compliance requirements covering various functional areas. Assists in support of audits with HRIS, and other functional areas.
  • Assists in the evaluation of user requirements; works with appropriate user(s) to provide input to support development and production of standard and ad hoc reporting using various tools such as Crystal, Excel, Access, Microsoft Report Builder and other relevant reposting and data manipulation software.
  • Coordinates with relevant contacts in HR, Finance and Systems; conducts periodic audit and quality assurance; controls and reports to ensure data integrity.
  • Assists with mapping and documenting HR processes and workflows.
  • Participates in HR projects and may lead project coordination.
  • Performs other related duties as assigned.

Qualifications

  • Bachelor’s degree, preferably in a business or computer science discipline or equivalent combination of education and related experience.
  • At least one year of experience in a Human Resources, Finance, Payroll, or related servicing environment with emphasis on applications.
  • Strong analytical skills
  • Excellent interpersonal skills and the ability to interact in a professional manner, orally and in writing, with all levels of employees.
  • Strong organizational skills and detail oriented.
  • Computer literacy including demonstrated experience developing reports, or data manipulation or extractions using MS Excel, MS Access, Crystal and other associated software. Prior use of an HRIS, preferably Epicor, and an ATS, preferably, Taleo, is desired.
  • Experience with project coordination or project management is desired.
  • U.S. Citizenship is required.
  • Ability to obtain and maintain a security clearance may be required.
