Position Summary
The HR assistant assists in planning, organizing, and coordinating Human Resources activities. The HR assistant answers inquiries concerning employment, assists new employees, maintains employee records, answers telephone, maintains a high level of confidentiality, and assists with special projects, employee events, and communication. Assists with employment and onboarding processes.
Essential Functions
- Assists in the recruiting process including statusing job requests, job offers and job candidates through the human capital management system (HCMS).
- First point of contact for visitors both in-person and via telephone.
- Consistently reflects a helpful, professional, and positive demeanor in all interactions; quickly builds rapport with others.
- Schedules interviews and meetings.
- Schedules and conducts candidate onboardings.
- Assists with new employee orientation.
- Uploads employee and candidate documents into the HCMS
- Enters timely and accurate employee status changes, transactions and data into the HCMS
- Maintains electronic and hard files for current and terminated employees.
- Maintains updated licensure report for all departments and uploads renewed licenses into the HCMS.
- Assists with The Joint Commission, I-9, ADA and FMLA compliance.
- Assists in the handling of workers’ compensation claims, safety reporting, and safety program.
- Processes staff changes of status in the human capital management system
- Audits monthly benefits invoices for accurate payment.
- Assists employees with enrollment into benefits programs.
- Maintains records for all agency and contract personnel.
- Answers multi-line telephone, routing calls and following up on inquiries.
- Generates system access requests for all users.
- Prepares and prints identification badges and submits access request forms.
- Maintains the necessary supplies for the human resources function.
- Maintains HR information boards.
- Generates various HR reports in Excel as well as the HCMS.
- Provides information to outside entities regarding verification of employment, unemployment compensation claims, and insurance coverage.
- Performs duties with a strong sense of urgency, initiative, and ownership.
- Assists with the TRMC interpreter certification process.
- Adheres to and follows all patient experience initiatives.
- Reports to and departs from work on time and as scheduled.
- Performs other duties as assigned.
- Follows and adheres to TRMC vaccine policy(s) mandated by the Centers for Medicare & Medicaid Services (CMS).
Skills
- Strong working knowledge in Microsoft Office (Word, PowerPoint, Excel, etc.)
- Experience with a Human Capital Management System and Applicant Tracking System.
- Experience or ability to use graphic design software.
Work Experience
- One-year Human Resources experience preferred.
- Prior experience in the health care industry preferred.
Education
- High school diploma or equivalent preferred.
