The Department of Public Safety is seeking an ID Center Operations Supervisor. This is a full-time (1.0 FTE ),12-month, professional faculty position.

Reporting to the Communications Manager, the ID Center Operations Supervisor will manage and lead a team of students in the day-to-day operations. This position is expected to service as a subject matter expect while providing necessary support to team members.

This position is considered a working supervisor, and in addition to managing a team of students, will be expected to provide operational support.
Position Duties
55% – Oversee daily operations of the Campus ID Center:

  • Responsible for the quality of customer support provided to students, staff, faculty and visitors as well as Card services provided to administrative and academic units across the University.

  • Provide leadership to create a welcoming environment for a diverse customer base.

  • Ensures readiness of ID Card office and systems for daily service. Responsible for duties surrounding card production, software management and interfaces, point-of-sale support and programming, customer service, management of card deposits and weekly revenue distribution, photo submission, and serves as backup to complete tasks as needed.

  • Coordinate student schedules and operations for special needs such as START freshman orientation, INTO OSU new student arrivals, remote photo sessions, or other on-call situations. Ensure services are accessible to a diverse student population.

  • Ensure compliance with FERPA, PCI, Finance polices, and acceptable use of computing resources policies.

  • Ensure complete documentation for all operational processes.

  • Supervise student workers including planning work, communicating performance goals and objectives, training, and setting the tone of high standards of customer service, quality of work, internal controls, and overall professionalism.

  • Complete timely performance evaluations.

  • Approve leave time and staffing schedules.

  • Provide training.

  • Monitor and maintain general office supplies, card stock and general inventory.

20% – Coordinate with other campus units:

  • Maintain positive and productive working relationships with campus departments.

  • Support the strategic initiatives of other units, such as: Housing and Dining, MU Retail Food Services, Information Services, Human Resources, Registrars, Library, Athletics, Dixon Recreation Center, Facilities, Student Affairs, and Business Affairs.

  • Participate in development of policies, projects, new procedures related to the effective use of ID Cards for students, staff, faculty, affiliates, and associates of the University.

  • Ensure data integrity and security between systems.

  • Collaborate with campus departments to ensure technological compatibility of system applications and devices.

  • Responsible for accurate reporting and reconciliation of key ID data elements between multiple databases and applications.

  • Serve as ID Card subject matter expert for all stakeholders.

10% – Budget activities:

  • Oversee payments to vendors, billings to departments, reporting, inventory control and cash internal controls.

  • Assist with annual review of assessment to internal user and partner departments.

  • Establish controls for and monitor: card deposits, posting charges/refunds to student accounts, and payables and receivables. Make daily deposits.

10% – Planning and projects:

  • Support the development and ongoing advancement of the OSU ID Card programs.

  • Propose and manage implementation of approved projects that increase efficiencies and customer service across campus.

  • Ensure procedure documentation is developed and up to date.

  • Manage MOUs.

5% – Other duties as assigned
Minimum/Required Qualifications
  • Bachelor’s degree in Business, Accounting, or related area and three (3) years of experience providing administrative/financial support to a program or office OR an equivalent combination of education and experience.
  • One (1) year of lead work experience
  • Excellent verbal and written communication skills
  • MS Office Skills
  • Experience in customer service environment
  • Demonstrable experience promoting diversity
  • This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per OSU Standard 576-055-0000 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.

Working Conditions / Work Schedule
This is a working supervisory position primarily working Monday-Friday (40 hrs) with occasional weekend assignments as needed for special programs or move-in.

Must successfully pass a comprehensive background assessment that includes criminal history check and an inclusive appraisal of work history.
