Job Summary:
The Intake Specialist assists a diverse pool of workforce members and their households with connection to workforce development services available at Goodwill Houston. These services include, strategic partners, other community resources consistent with the mission, identified outcomes and the participant’s individualized plan that outlines a move toward self-sufficiency. Required to understand and deliver results from administered assessments and translate findings into best fit program supports. The Intake Specialist performs a variety of duties to assess a participant’s eligibility for the best fit co-enrollment opportunities available at Goodwill Houston.
It is important that this individual exercise good judgement and due diligence with care when performing duties and communicating on behalf of Goodwill of Houston. This position is responsible for and must assure that the Workforce Development Department is in total compliance with regulatory and accreditation standards.
Essential Duties and Responsibilities:
- Meet and greet all workforce members and visitors, answer telephones, assists with routine inquiries, and refers to appropriate Goodwill program as necessary. Upholds excellent customer service for the front office and communicates well with staff.
- Accountable for the initial participant eligibility verification, document collection and regular communication with the Job Connection Operations Manager and other onsite center managers. Including assessing, planning and supporting follow ups to meet the participant’s needs.
- Perform general clerical duties to include by not limited to: photocopying, faxing, mailing, filing, scheduling, ordering and maintaining office supplies.
- Assists with data entry and record keeping related to Job Connection outcomes and Job Connection Programs/Services while maintaining a high level of confidentially. Verify client data entries by reviewing, correcting or reentering data; altering staff when account information is incomplete.
- Assistance with retention follow up may as necessary and as directed by program staff and Job Connection Operations Manager.
- Organizes and prepares materials for weekly orientations, classes, job readiness and soft skills trainings, job placement and job retention services into the CaseWorthy database.
- Ensure compliance with all Goodwill Houston policies, procedures and safety standards throughout work areas and maintain them to meet all state and local regulatory standards.
- Actively promote Goodwill Houston programs to create awareness and demonstrate the potential it has on career and life advancement.
- Be fluent in specific career pathways within Goodwill Houston.
- Be fluent in local community resources and programs and provides constant referrals to programs that foster continued growth of the participant.
- Support an outreach plan to further connect with in need workforce members in the community.
- Document participant contact and activity through case notes in electronic case management systems.
- Coordinate with participants and pre-schedule meetings with team members.
- Refer participants to community partners for social aids.
- Be able to establish a rapport with participants.
- Maintain accurate records.
- Be able to multi-task several assignments at once and prioritize effectively.
- Participate as needed in off-site job fairs, career day events, workshops, seminars and other employment related activities.
- May be required to support job trainer on site as needed.
- Be able to professionally assist individuals with different types of lifestyles, genders, personal beliefs, and disabilities.
- Other duties as assigned by the Job Connection Operations Manager/On-Site Managers.
Minimum Qualifications:
- Experience working with diverse populations.
- High school diploma or equivalent.
- Duties require professional verbal and written communication skills.
- Good working knowledge of Microsoft Office desktop applications and telephone protocol.
- Ability to work with people of varying backgrounds and cultures.
- Ability to work under deadlines.
- Strong relationship management and interpersonal skills including interacting with community partners/leadership.
- Capacity to work independently and collaboratively as part of the team.
- Excellent time management, problem solving, and communication skills.
- Extensive knowledge of community resources.
Critical Performance Factors:
- Assess eligible workforce members.
- Assist eligible participants in enrolling into Goodwill Houston’s job connection program(s).
- Provide wrap around service referrals to participants as needed at program entry, assessment and follow up.
- Support team members in gaining retention information.
- Support orientation in-person and through virtual services.
