Position Summary

The Junior Executive Administrative Assistant provides administrative support to the Executive Assistant to the CEO and the company executives by managing calendars, handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings and coordinating travel for executives in an organized and timely manner. Must be able to work in a fast-paced environment, and work well within a team setting.

Essential Duties & Responsibilities

  • Provide administrative assistance to the Office of the CEO, CEO’s Executive Assistant team, and other senior executives. Close coordination and communication with CEO’s Executive Assistant team is imperative.
  • Assist other departments as needed.
  • Answer and transfer phone calls, screening and taking messages when necessary.
  • Coordinate and schedule travel, meetings, conference calls and appointments for executives and visitors or clients.
  • Welcome and direct visitors and clients.
  • Retrieve information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Type correspondences, reports, memos, letters and other documents.
  • Maintain filing systems as needed and retrieve corporate documents, records and reports.
  • Open, sort and distribute incoming correspondence, including faxes and email.
  • Respond to and resolve administrative inquiries and questions.
  • Prepare agendas and schedules for meetings.
  • Record and distribute minutes or other records for meetings.
  • Maintain and complete expense reports for executives.
  • Manage company sports/event tickets, including ordering, receiving, and distributing.
  • Provide other responsibilities and duties, as assigned.

Education, Skills & Abilities Required

  • Associate’s Degree required, Bachelor’s Degree preferred.
  • Minimum of three (3) years of related work experience in an administrative support or lead customer service role is required.
  • Previous invoice factoring and/or financial services experience is a plus.
  • Intermediate to advanced skills in Microsoft Office Products: Excel, Word, Outlook, and PowerPoint – Experience in Office365 is a plus.
