Overview

This position performs and coordinates facility and administrative services support activities serving as a lead to lower level staff; ensuring the efficient and smooth day-to-day operation of the facility.


Responsibilities

  • Assigns, schedules, and directs the daily work assignment of lower level staff; trains new staff as needed. Provides evaluation input to the Supervisor, Facilities and Administrative Services for the annual performance appraisal.
  • Organizes, directs and helps with office moves which may include assembling and arranging furniture, boards, building portable partitions, etc.
  • Oversees conference services by scheduling; monitoring and maintaining records and conference supplies; discrepancies, equipment and catering requests. Sets up conference rooms; arranges furniture and equipment; restoring to its original condition after the event; and prepares monthly report on conference room usage.
  • Assists in maintaining conference supplies inventory and product inventory listing, and, as directed, interface with supplier partners to order necessary supplies.
  • Responsible for the maintenance and repair of all vehicles; monitors preventative and scheduled maintenance programs.
  • Establishes guidelines for carrying, transporting and delivery of classified material; acts as classified liaison between facilities in the delivery of incoming/outgoing unclassified mail, books and periodicals; may act as courier for classified material as needed.
  • Reviews and assigns Help Desk tickets to appropriate personnel, oversees the execution of corrective actions, and ensures customer satisfaction with the ticket originator.
  • Acts as back-up supervisor of Administration Services in the absence of the Supervisor, Facilities and Administrative Services.
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent plus 3 or more years of clerical experience including scheduling and coordinating events
  • Must be proficient in using current industry standard computer equipment and software specific to duties to include Microsoft Office.
  • Strong organizational skills and ability to work effectively and efficiently under deadlines with tact and diplomacy
  • Possess excellent interpersonal skills and ability to communicate effectively both orally and in writing with all levels of personnel.
  • Ability to lift 25 pounds
  • Must possess a valid driver’s license
  • Ability to obtain and maintain necessary security clearance.

Successful completion of a criminal background check is required.
