Position Summary

The role of the Logistics Assistant is to assist with the organization and implementation of logistics transactions for the company. This person, along with the logistics team, is responsible for maintaining order accuracy, on time delivery, and customer satisfaction. They will work alongside the sales team and documentation team to problem-solve and maintain the highest level of customer service.

Essential Functions

· Assure all logistics tasks are being completed on time and correctly.

· Assists with the organization of inbound and outbound shipments for Fayman and ESRO Food Group, while assuring on time delivery and appropriate schedules are planned and maintained.

· Assisting to monitor on site inventory to effectively help schedule production and subsequent logistics tasks.

· Communicate effectively with outside vendors (including cold storages, warehouses, inspection houses, suppliers, and customers) to assure the tasks are completed correctly and in a timely manner.

· Verify document validity and accuracy for inbound and outbound loads.

· Arrange domestic trucking for pickups and deliveries, while working with the supplier and customer to align on time pickups and deliveries.

· Communicate any discrepancies from the schedule with relevant parties (both internally and externally).

· Work alongside internal staff to make any necessary amendments to the schedule, while assuring all subsequent transactions are also amended.

· Work closely with the logistics team to assure all required documents are provided and correct for invoicing.

· Assure inbound and outbound BOL are signed and saved properly to assure proper order tracking.

· Work with the shipping Department to ensure inventory accuracy of all shipments

· Ensure proper documentation is printed for smooth daily operations

· Ability to effectively communicate over the phone, via email, and other messenger apps (WhatsApp and Viber).

· Understanding and manipulating Microsoft Excel worksheets to maintain inventory and delivery schedules.

· Update data within Excel while simultaneously saving documents electronically via Microsoft SharePoint / Central shared drive.

· Ability to focus in a fast-paced environment to assure all tasks are completed in a timely manner.

· Ability and willingness to work in a team setting, keeping in mind that team members may be remote to your location.

· Available for on call rotating weekends

· Perform additional duties as assigned.

Knowledge, Skills and Abilities:

  • Knowledge of shipping processes and best practices
  • Knowledge of regulations related to transportation including those related to freight classifications
  • Knowledge of logistical, analytical, and problem-solving skills.
  • Ability to manage numerous competing demands in an extremely fast-paced environment.
  • Attention to detail, organizational skills, and the ability to problem solve.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Ability to coordinate and manage a variety of shipments and shipping methods.
  • Ability to operate small office equipment, including copy machines or multi-line telephone systems.
  • Ability to operate computers for data entry, word processing and/or accounting purposes.
  • Ability to maintain positive and effective working relationships with a diversified group of people.
  • Basic knowledge and experience with Warehouse Management and ERP systems

Education and Experience:

· Six (6) months to one (1) or more years of Logistics/Supply Chain Management; or equivalent combination of education and experience preferred.

· None. Reports to the Logistics Manager.
