The Office Manager oversees patient daily operations flow of the dental center. This position requires knowledge and experience in many facets of dental business office management. The Manager is responsible for performing a variety of front office tasks and duties including, but not limited to communicating necessary information to assist patients with their dental insurance and to make sure they understand their benefits.
Responsibilities:
- Supervise staff and oversees daily office operations.
- Establish staff schedules, allocation of staff, and assures effective patient care.
- Foster an environment of exceptional customer service ensuring that all communication with patients and staff is courteous, professional, cooperative.
- Ensure that staffs’ work is completed in a timely manner.
- Train and rotate office staff (dental assistants/business associates) through various office duties to ensure cross coverage in all job areas.
- Oversee daily deposits and ensures batch reports/encounters are sent to the Finance Department accurately, and timely.
- Monitor staff on a daily basis, adding any edits, request for leave within 24 hours and limiting overtime. All staff time should be approved pursuant to HR protocol.
- Work closely with Engineering, Environmental Services, BioMed, Radiology, IT, HR, Payroll, Infection Control.
- Oversee inventory and ordering of dental and office supplies.
- Oversee equipment repairs.
- Prepare biweekly payroll for employees and send to Dental Department Administrator for approval.
- Verify all timesheets for salaried employees and send them to Dental Department administrator for approval.
- Perform annual employee evaluations (dental assistant, BA’s).
- Preparation for Joint Commission.
- Communicate with customers in a courteous, professional, cooperative and mature manner.
- Recognize and respond appropriately to violent/abusive situations, fire and emergency situations.
- Observe and practice confidentiality policies and procedures.
- Accurately reconcile charges for the day.
- Accurately prepare daily deposits.
- Perform Environment of Care functions.
- Oversee and maintain a safe environment for employees, patients and visitors.
- Assure that all emergency equipment, such as fire extinguishers and emergency lights are properly maintained.
- Complete work/repair orders in a timely manner.
- Coordinate and prepare office and staff for potential weather related disasters.
- Communicate with corporate office for current updates and maintains an open line of communication with staff.
- Manage medical/dental record requests from outside sources.
- Attend manager meetings.
- Submit Incident Reports.
- Prepare monthly Department Statistics.
- Prepare monthly Department Reports (Quality Assurance, Infection Control, etc).
- Able to work in a multi-specialty dental practice with general dentists, specialists and residents.
- Perform other duties as needed.
Education:
- High School Diploma or GED requied.
Expreience:
- Minimum three (3) years of full-time paid experience as a Manager.
- A satisfactory equivalent that includes a strong background in the dental field and dental terminology.
Knowledge and Skills:
- Knowledge of Joint Commission standards related to dental.
- Knowledge of dental billing/collection practices.
- Dentrix experience.
- Computer knowledge including at least Microsoft/Excel.
- Knowledge of dental terminology.
- Knowledge of Medicaid, HMO and PPO dental insurance plans.
- Ability to verify patient eligibility for dental insurances.
- Ability to understand CDT codes and EOB’s for Dental Insurance.
Ability to multitask.
Ability to work as a team and independently.
- Excellent interpersonal skills.
- Ability to exchange information with others in a clear and concise manner, and present ideas, facts, and technical information.
- Ability to maintain relationships that facilitate task accomplishment; to cooperate and resolve conflicts; to recognize needs and be sensitive of others.
- Ability to receive guidance and supervision; to follow work rules, safety practices, risk management, and work procedures, meet deadlines, punctuality, and attendance standards, etc.
- Ability to perform a variety of duties, often changing from one task to another of a different nature without loss of efficiency or composure.
- Ability to organize in an efficient and concise manner.
Physical Requirements:
- Ability to work in surroundings with degree of dust, noise, etc. without undue discomfort.
- Ability to hear, talk, walk, stand, bend and stretch.
- Ability to sit for long periods of time at desk to perform job functions.
- Ability to stand for long periods of time at required patient bedside and/or procedural areas.
- May be required to handle reasonably heavy weights across distances.
- May be required to handle/assist in lifting patients onto/out of exam beds/procedure stations.
- Must be trained in and knowledgeable of all Kingsbrook/Rutland policies and procedures pertaining to hazardous waste and hazardous materials and maintain qualifications applicable to assigned work.
