Role Summary
The Marketing Coordinator is essential to the smooth operation of a fast-paced Marketing Department that promotes the MFAH across multiple channels. The coordinator supports the department by keeping a keen watch on details, including deadlines, budget, and calendar and by executing media and signage plans.
Responsibilities:
Marketing Department
- Maintains budget spreadsheets and processes invoices and purchase orders
- Maintains exhibition and internal client budget spreadsheets
- Maintains production and editorial calendars through Monday.com
- Oversees copyright permissions for images of art
Advertising and Promotion
- Executes plans for campus banners and signage
- Maintains promotional plans for internal clients and organizes meetings to review details
- Coordinates production of advertising materials
- Monitors and maintains collateral production schedules
- Assembles assets, including images and descriptions
- Submits requests to Graphics Department
- Tracks jobs with Graphics Department and seeks approval of promotional assets from Marketing Department, internal clients, and leadership
- Serves as advertising outlet liaison for production and invoicing
- Tracks fulfillment with marketing partners and vendors
- Serves as primary liaison with external printers and other vendors to obtain bids, submit art files and coordinate delivery of material
Skills, Knowledge, and Abilities
- Detail-oriented, with attention to numbers and dates
- Familiarity with financial and project management software helpful
- Strong interpersonal skills and ability to communicate across the institution
- Flexibility and ability to adjust quickly to changing demands, with strong problem-solving skills
- Ability to think ahead and fulfill media plans well in advance, with constant attention to deadlines
- Graphic design familiarity a plus
Education and Experience
- Degree (Bachelor’s or Associate) in a related field (Marketing, Communications, or Art History) preferred or an equivalent combination of experience and education from which comparable and demonstrable knowledge, skills and abilities have been achieved.
- Two (2) or more years in a marketing and communications environment
Telework
After completion of the probationary period, this position will require a minimum of three days a week work in the Marketing offices of the Museum with the possibility of two days working remotely.

Reports to: Marketing Manager
Classification: Non Exempt/Hourly
Schedule: 35 hour work week – 9 am to 5 pm
Pay Rate: DOE

Working Conditions and Physical Demands
Work will primarily be performed in an office environment. Work will involve extended sitting and computer use. The MFAH provides a generous schedule for time off under the following benefit categories:
- Paid Time Off - Used for absences from work such as vacation, illness of short duration, and personal reasons. Hours are accrued biweekly, based on employment status, length of service, and hours worked
- Reserve Time Off - Used for extended illnesses. Employees accrue up to 6 days per year, up to a maximum of 120 days
- Holidays - Full-time employees receive ten paid holidays per year
- Volunteer Time Off - The MFAH supports activities that enhance and serve the communities in which we live and work. Employees receive up to 40 hours of paid time off annually to give back and volunteer.
