Purpose of Position:

Under the direction of the Supervisor of Support Staff and in conjunction with the Clinical Manager, is responsible for providing administrative, clerical and communications support to the clinical team and for facilitating optimum communication with other members of VNSW and the medical community.

Responsibilities:

1) Supports clinical manager in coordinating team activities and operations

2) Coordinates team clinical activities to include, but not limited to:

  • Ensures all charts and 485’s are in; monitors flow of physician faxes; faxes discharges and transfer summaries to MDs/Hospitals/Facilities.
  • Corrects all Physician Orders returned with incorrect information, faxing physician with notification of a SOC/ROC/EVAL
  • Sending patient medication profiles to patients and physicians
  • Processes and tracks paper documentation.
  • Submits billing information to the Billing Department as needed
  • Ensures that admission documentation is properly filled out and signed
  • Prepares new admissions, ROC and Patient Information Packets

3) Coordinates team information flow including the compilation of team management reports

  • Provides required reports per required schedules (nursing rosters, nursing visit reports, payroll, outcomes, etc.) and other reports as requested by the team manager

5) Timely completion of assigned Medical Records Specialist workflow including but not limited to: Confirmation of receipt of signed documents, fax episode summary, notify physician, print patient instructions, process episode summary, review unsigned orders, verify receipt of notice of Medicare non-coverage.

6) Timely completion of Prebill Auditor Workflow including but not limited to: Perform claims audit, perform claims audit PDGM, review/clear held claim, review/clear held claim PDGM

7) Supports Clinical Manager with Secretarial activities, including telephone communications, typing, mailing, faxing and copying as needed

8) Prepares and updates travel charts and other charts as needed

9) Supports Supervisor of Support Staff with mailing, procurement and tracking/ recording of Physician Orders by faxing/auto-faxing, using various electronic platforms and uploading to EMR

10) Screens calls/questions for all companies from the community and provides reception desk coverage according to a rotating schedule

  • Supports effective communication between staff from all companies, referral sources, patients, caregivers and other community persons.
  • Utilizes agency resources (EMR) to respond to customer questions
  • Effectively handles phone calls and pages, problem solving where possible using EMR query and warm transfer
  • Maintains positive customer service by providing a responsive, knowledgeable and accessible approach to all customer (internal and external) contacts.
  • Maintains flow of front entrance for all companies using screening protocols, fielding deliveries, etc.

11) Ensures continuous coverage of reception desk and team operations by scheduling with counterparts and forwarding desk calls as appropriate

12) Performs other duties as assigned.

Qualifications:

1) Able to think independently and work with minimum supervision under high activity situations.

2) Able to prioritize and multi-task

3) Excellent interpersonal, verbal, and written skills.

4) Proficient in Microsoft – Word, Outlook, Excel, PowerPoint

5) Excellent telephone and customer service skills

6) Minimum of two (2) years experience in the healthcare industry.

7) Self starter with high level of initiative

8) Associates Degree or equivalent preferred

9) Ability to navigate, search information, and print reports in clinical software

6) Positive, approachable demeanor

7) Understanding of business protocol

Physical Demands:

While performing the duties of this job, the employee is regularly required to sit. The employee is occasionally required to stand, stoop, kneel or crouch. The employee frequently is required to talk or hear. The employee must occasionally lift and/or move up to 20 pounds.

Work Environment:

The noise level in the work environment is usually quiet.

Job Type: Full-time

Pay: Up to $24.00 per hour
