40 Hour Work Schedule:

  • Monday - Friday

Your Role:

  • Personal assistance to Chief Medical Officer, Detox and Psychiatry departments
  • Manage daily workflow of Chief Medical Officer's Calendar; including scheduling appointments, maintaining calendars, department and group meetings, expense reports, files, etc.
  • Screens, reviews, and flags pertinent and essential emails
  • Gathers and Organizes Monthly Metrics and Reports for Detox, Medical and Psychiatry departments; Submits Agenda and Metrics before Monthly Check-in Meetings
  • Coordinate with schedulers the clients' appointments for Detox, Residential and Outpatient Services, as related to Psychiatry
  • Oversees and determines coverage plan for Medical staff PTO and callouts
  • Completes referral documentation for Medical APRN when client has scheduled appointment or is being sent to hospital
  • Input medical documentation in client chart following any outside appointment or hospital visit
  • Provides coverage for benefits investigation for Sublocade; tracks and handles process to ensure timely and accurate delivery; responsible for reorder or transfer of order to alternate provider/location
  • Assists in ensuring Medication Assisted Treatment log is updated and accurate for all locations; completes random audits and tracks samples for Chief Medical Officer
  • Oversees process and order completion for PGT and EKG testing
  • Oversees Quest lab process to ensure timely response to orders and billing
  • Conducts weekly audits related to appointments
  • Coordinate with leadership for group coverage on Detox in the absence of scheduled presenters (Wellness, Clinical and Tech run groups)
  • Completes payroll and PTO approval for Medical and Detox staff
  • Assists with Prior Authorization's and insurance overrides for prescribed and specialty medications
  • Handles all FMLA/Disability paperwork and requested letters

Qualifications:

  • Bachelor's Degree, or equivalent education - preferred
  • Minimum of three years administrative support experience in a medical setting - required
  • Minimum 1-year experience/knowledge in Substance Abuse treatment field - preferred
  • Minimum 1-year experience/knowledge in specialty medication Prior Authorizations - preferred
  • Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams & PowerPoint) - required

Compensation:

  • The base salary for the position is $42,000 - $55,000 per year. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
