What you will do
As an Office Administrator, you will have a significant role in creating and maintaining a positive workplace culture. You will have the opportunity to develop a broad range of skills, from leading projects to working with vendors and suppliers. - You will provide administrative and clerical duties for the Tempe, AZ site. You will be the primary point of contact for visitors and various departments at the site.
- You will answer telephones and provide information in accordance with company policy; screen calls and takes messages.
- You will receive visitors and direct them to appropriate location.
- You will update procedural processes for the reception area.
- You will screen mail; may respond to routine inquiries using standardized formats. Manage intercompany mail between multiple building sites.
- You will work with the facilities lead in maintaining and improving office décor, branding and furnishing.
- You will establish and maintain site-specific administration files and records. Maintain facility and departmental distribution lists.
- You will assist Site Lead and HR in establishing office policies and procedures and assists in the coordination of department activities.
- You will coordinate with various vendors who provide site services. Recommend new vendors as services develop. Coordinate payment for facility vendors, including expense reporting for the Site Lead to cover such payments.
- You will solve problems for site employees and handles end-to-end completion of site-support tasks and projects.
- Support coordination of local recognition awards e.g. spot awards and service awards and other local recognition and rewards events and activities
- Order and maintains office and kitchen supplies. Support special requests from managers.
- Responsible for the coordination, catering, and execution of all onsite/offsite people-related activities, including product launch parties, celebrations, holiday parties and town halls. Is primary resource for the set up and take down of these activities.
- Serve as an ambassador to the Stryker business, including hosting high-profile visitors.
- Schedule use of conference rooms, primarily for guests to the site. Supports staff with the operation of conference room systems.
- Maintain and coordinate calendars/schedules for Business Unit leadership at the site.
- Coordinate travel planning and booking for Business Unit leadership team.
- Manages the expense report administration of Business Unit leadership.
- Responsible for weekly, monthly, and quarterly video calls, highlights, and communication.
What you will need
- High School Diploma required.
- 5+ years of office experience preferred
- Bachelor's Degree from an Accredited University Preferred.
- Internal applicants with an equivalent combination of education, experience and performance over time at Stryker will be considered.
- Proficient in MS Office suite (Outlook, Excel, Word, Powerpoint).
- Must have high attention to detail in a fast-paced environment.
- Must be able to manage time and high workloads.
- Must possess strong interpersonal skills, including oral and written communication.
- Must be able to multitask and bring tasks through to completion with minimal supervision.
