Position Summary

The Office Assistant is a member of the Stewardship and Development team and is responsible for providing assistance and general support of an administrative, clerical and technical nature to the Chief Development Officer and the Stewardship and Development team.

Responsibilities

  • Assist with scheduling, organization, coordination and logistics of internal and external meetings and events. Reserve meeting rooms, order refreshments, contact participants to confirm attendance, print agendas and handouts, and take minutes
  • Draft, edit, proof read, format, mail-merge and send letters as necessary.
  • Send, receive, sort and distribute correspondences.
  • Maintain and update records in donor database as needed.
  • Assist with onboarding and training of new staff serving as liaison with HR department.
  • Maintain and respond to general Stewardship and Development email inbox
  • Order supplies for the Stewardship and Development team
  • Complete monthly spending and reimbursement reports for the Chief Development Officer and front-line Stewardship and Development team.
  • Receive, handle or transfer phone calls and messages promptly and courteously.
  • Receive, handle or refer to email inquiries promptly and courteously.
  • Organize and file office documents regularly, as well as lead archiving efforts.
  • Maintain a thorough understanding of the mission, goals, and priorities of the office.
  • Assist with invoice processing and purchase requisitions as needed
  • Collaborate with other archdiocesan colleagues and offices
  • Collaborate with other staff members of the office to create and maintain a system-wide integration of data.
  • Other duties as assigned

Requirements

  • Minimum five years of experience in an administrative assistant role
  • Excellent verbal and written communication and skills
  • Technical ability with software such as Microsoft Office
  • Ability to meet deadlines
  • Ability to perform data entry tasks/work with CRM
  • Ability to work in a fast-paced, high-energy environment
  • Ability to read, write and speak fluently in Spanish or Polish preferred
  • Strong work ethic, enthusiasm and confidence
  • An empathy with the ethos of the Catholic Church
  • Must demonstrated understanding, respect, and support for Catholic Church teaching, mission, and values
  • Affinity with the overall mission of the Archdiocese of Chicago
