Our Programs and Services Division (PSD) has a great opportunity for an office assistant (OA3) to join the Licensing team within the Application & Issuance Team!

As an office assistant, you are integral to our ability to accomplish our purpose of helping every Washington resident live, work, drive, and thrive. You will work with a well-rounded team and independently support them through your administrative work. While completing repetitive work, you will consistently drive task completion of clerical work. With a customer first mindset, you will execute accurate and timely record handling while still following state and federal regulations, policy and procedures, and rules.

Duties

As an Office Assistant, your ability to complete repetitive tasks and track work progression through personal accountability and motivation will be key as you work with a diverse and supportive team. While understanding the importance of the details, you will ensure important deadlines are met while being provided the flexibility to perform complex clerical tasks in ways that work for you. You will be personally fulfilling the agency’s purpose of helping every Washington resident live, work, drive, and thrive by processing customer documents accurately and efficiently.

Some of what you will be doing:


  • Perform complex and routine clerical tasks such as copying, filing, faxing, shredding, and sending documents as assigned.
  • Mail distribution, accurate inventory and unpacking of supply areas.
  • Performing online renewals, vault related duties, inventory duties including locking up responsibilities, and assisting other team members with similar tasks.
  • Analyze documents for accuracy and completeness while following strict security procedures.
  • Review, analyze, and interpret driver and vehicle data included in supporting documentation to accurately establish, update, and/or correct records.
  • Provide technical assistance to internal and external customers to resolve a variety of customer issues, inquiries, and complaints both verbally and in writing.
  • Reviewing process for improvements through LEAN principles and supervisor/lead team communication.

Qualifications

What you will bring:

  • One year of experience and responsibility in an office performing one or more of the following:
    • Clerical or administrative duties such as reviewing documents, records, reports, or applications for completeness and accuracy and basic office production functions.
    • Data Entry.
    • Customer Service.

  • One year experience composing clear, professionally appropriate, technically correct, and step-by-step instruction responses to customers.
  • Experience using various functionality within DRIVES or similar systems.
  • Experience applying complex rules, laws, and policies or procedures to business practices.
Additional Conditions of employment :
  • Per Governor Inslee's Directive 22-13.1, , state employees must be fully vaccinated effective November 4, 2022. SESG Program Qualifications:
This position is within the Supported Employment in State Government (SESG) Program, per the requirements of RCW 41.04.770. Applicants must be eligible for the SESG Program and also meet the qualifications for this position.

To be eligible for the SESG Program you must:
  • Have a developmental disability as defined in RCW 71A.10.020; or Experience a significant disability as defined in the Rehabilitation Act of 1973 that seriously limits one or more functional capacities (such as mobility, communication, self-care, self-direction, interpersonal skills, work tolerance, or work skills) in terms of an employment outcome, including amputation, arthritis, autism, blindness, burn injury, cancer, cerebral palsy, cystic fibrosis, deafness, head injury, heart disease, hemiplegia, hemophilia, respiratory or pulmonary dysfunction, intellectual disability, mental illness, multiple sclerosis, muscular dystrophy, musculo-skeletal disorders, neurological disorders (including stroke and epilepsy), spinal cord conditions (including paraplegia and quadriplegia), sickle cell anemia, specific learning disability, end-stage renal disease, or another disability or combination of disabilities determined to cause comparable substantial functional limitation;
  • Require supported employment on the job training and long term support to satisfactorily perform job duties; AND
  • Have a reliable source of long term support.

If you are selected for the SESG position the employer will verify that you meet the criteria for the SESG Program and have a dependable source of long term employment. The employer may ask you for additional documentation to prove your SESG eligibility such as a written statement from a Doctor, Physician’s Assistant or Therapist, records from a School Counselor or Vocational Rehabilitation Agency or a similar program with relevant records. Written statements from family members, friends, or former employers/co-workers will not be accepted.

An employee who is hired and then ceases to meet all of the SESG Program eligibility criteria will be terminated from this position.
