Responsibilities:


The University of Louisiana at Lafayette invites nominations for the position of Front Office Coordinator. Reporting to the Director, the Front Office Coordinator will:

  • Ensure front office coverage for Undergraduate Admissions during university business hours.
  • Answer inquiries to the office (in person, telephone, email, etc.) quickly, correctly, efficiently and in a friendly, courteous manner.
  • Work daily in information systems, including, but not limited to the department’s Customer Relationship Management (CRM) system, the university’s Enterprise Relationship Planning (ERP) system.
  • Monitor office supply quantities and place orders regularly to ensure an adequate stock of supplies at all times.
  • Manage application fees from the undergraduate application, including timely deposits and any necessary refunds/reconciliation.
  • Assist Communication Coordinator with mailout of application decision packets/letters.
  • Work with returned mail to ensure that applicant decision packets/letters reach applicants and that address information is updated, as needed.
  • Correctly scan and index all staff-generated documents into digital document management system in a timely manner.
  • Ensure that admissions decision letters are converted and stored in applicant records.
  • Assist with verification of scanned documents in digital document management system.
  • Maintain office calendar and schedule staff meetings/trainings/on-boarding.
  • Manage all incoming invoices/bill payment for the office.
  • Maintain high level of customer service with prospective students/applicants and their families, as well as University administration, faculty and staff.
  • Work evening and weekend events during peak times and for recruitment events.
  • Perform other duties as assigned.

Qualifications:
Applicants for the Front Office Coordinator position must possess a minimum of a bachelor’s degree and preferably a minimum of one year of responsible experience in a front office setting. The applicant must also have excellent oral, written, and interpersonal skills, as well as exceptional organizational skills and attention to detail. The applicant must also have the ability to multi-task and work independently as needed.
