Job Summary (Role in organization):

The position is critical in assisting the Susquehanna Regional Transportation Authority in meeting our mission of mobility. Provides administrative support to the Executive Director and Executive Team in a professional, timely manner, so that the Authority may ensure a safe and efficient transit system.

Key/Reporting Relationship/Direct Reports:

This position reports to the Chief of Staff. This position receives general supervision and works within established guidelines.

Essential Duties and Responsibilities:

Achieves the Authority's mission and strategic goals by performing a wide variety of administrative duties to support the Management Team.

Collaborates with internal departments to organize various staff engagement initiatives and other events.

Serves as the administrative liaison for the Executive Director to the Board of Directors and acts as the primary point of contact, preparing for Board meetings and Board-related communications.

Prepares agendas, conducts research, compiles data and prepares documents to support executives and boards of directors. Attends meeting in order to record minutes. Composes and distributes minutes of meetings.

Maintains and manages the Executive Director's schedule on Microsoft Outlook in coordination with the Chief of Staff. Assists with scheduling appointments for Executive Director and for Executive Team.

Assists with travel arrangements or meeting registrations as needed for executives and other managerial and non-managerial staff.

Assists the HR department with a variety of administrative duties to include award certificates, communications for engagement, get well, sympathy, expirations, employee alert system, and tracking requests.


Opens, sorts and distributes incoming correspondence, via US mail, fax or delivery service. Handles the processing of certified mail.

Performs general office duties such as ordering supplies and provides general oversight of other administrative programs.

Contributes to the team by assisting in training employees as needed.

Maintains trust, confidence and protects the organization by keeping information confidential and disclosing only on a need to know basis; ensuring high ethical standards; fosters a spirit of respect, trust and cooperation; using good customer service skills with both internal and external customers; and upholding the organization's reputation in the community.

Handles routine correspondence, by either directing it to the correct department for resolution or by responding when directed.

Maintains cooperative relationship with coworkers and management by communicating necessary information, responding to requests, building rapport; and participating in problem- solving methods.

Contributes to effective communications within the organization by establishing and maintaining effective communication lines. Keeps management and staff informed of critical information needed to ensure smooth operations. Provides customer service by answering questions from internal and external customers.

Maintains professional and technical knowledge by reading in-house literature/communications, participating in meetings and educational opportunities as necessary.

Additional Tasks: Contributes to SRTA team effort by performing other assigned duties as needed.

Essential knowledge, skills, abilities and experience:

Prefer an Associate's Degree in Business Administration or related field with at least three years of administrative experience or the equivalent.

Strong computer skills including MS Office and Windows based software experience (including Word, Excel, Publisher and Powerpoint).

Must be proficient in spelling, punctuation and grammar.

Ability to be detail-oriented and accurate in the coordination of multiple details.

Must be able to produce correspondence and documents in a timely and accurate manner.

Ability to represent SRTA to all stakeholders in a calm and professional manner at all times.

Ability to maintain confidentiality.

Ability to maintain compliance with the Health Insurance Portability and Accountability Act (HIPAA).

Ability to manage one's own time and to follow a schedule to meet deadlines.

Ability to represent the Authority in a professional and positive manner at all times.

Ability to actively listen, communicate effectively and follow oral and written instructions that are given in English. Ability to work with diverse customers.

Ability to travel occasionally for meetings, training purposes or other organizational needs.

Must meet hiring qualifications of an acceptable driving record and background verification in accordance with SRTA standards.

Must be able to operate and troubleshoot office equipment such as the copier, fax machine, postage meter and telephone system, and assist staff and board members in their operation.

Must have regular attendance and punctuality.

Certificates and Licenses Required:

Must possess valid motor vehicle operator's license that is not under suspension or revocation and possess current automobile insurance coverage.
