POSITION SUMMARY

The Operations Manager is responsible for assisting with the day-to-day operations between multiple locations. This

position reports to the Dean of Operations. The candidate will inform the Dean of Operations of staff needs,

inventory supply levels, and situations which may arise unexpectedly with a staff member, student, or parent. They

will also assist the entire administrative staff to address problems. The Operations Manager will be housed at a school

site and will be expected to arrive no later than 30 minutes prior to the start of school and leave no earlier than 30

minutes after dismissal is complete.


ESSENTIAL JOB FUNCTIONS

1. Supervises support personnel.

2. Compiles, maintains, and updates a variety of records, including but not limited to, purchase orders,

inventory data, and invoices from vendors.

3. Maintain PowerSchool and be the liaison for SCS and FPA for any PowerSchool issues (i.e., EIS errors,

attendance errors, etc.)

4. Provides general clerical duties, including preparing correspondence and forms, email, fax, file and

scanning of documents.

5. Assists with travel arrangements when the Dean of Operations is not available.

6. Assist in emergency situations and communications regarding school closings due to incident or

inclement weather.

7. Collaborates with the Dean of Operations to execute academic events. The Operations Manager will

help provide information of events to students, parents, and the community through weekly progress

reports or school flyers/newsletters, with assistance from a Community Outreach.

8. Dispenses office and classroom supplies to teachers and staff.

9. Monitors and oversees vendor performance as directed by the Dean of Operation

10. Manages the office and nursing staff and coordinates with the Building Maintenance Lead as required.

11. Coordinates with the Accounting Department regarding asset purchases and building supply needs.

12. Directs visitors to the Dean of Operations or the correct party.

13. Exemplify the core values at all times.

14. Performs other related job duties as assigned or directed.


MINIMUM QUALIFICATIONS

A Bachelor’s Degree from accredited college or university in Business Management, Business Administration, or a

closely related field and three (3) years of experience in a school setting. Master’s Degree preferred. Or, an equivalent

combination of education, training, and experience that will allow the successful performance of the assigned job

duties.

  • Proficiency in Microsoft Excel, PowerPoint, Word and Outlook
  • Experience in Operations at a non-profit organization or public, private, or charter school
  • Experience with working under-resourced communities, families, and/or students

  • Self-starter: able to complete assigned tasks with minimum help from the Dean of Operations.
  • Computer literacy with proficiency in all Microsoft Office programs.
  • Strong administrative skills including attention to detail, maintaining a well-organized filing system (paper

and digital), and time management.

  • Ability to anticipate problems and resolve them before they arise.
  • Exceptional interpersonal skills; pleasant demeanor on the phone and in person.
  • Willingness and dedication to providing support to teachers.
  • Knowledge of business and management principles, involving strategic planning, resources allocation, and

coordination of people and resources.
