Job description

You will serve as Arc's lead for facilities operations, inventory, and general office management. You'll work closely with our HR department to ensure new hires are onboarded successfully and you'll manage the equipment inventory (including phones, computers, and other technology). You'll evaluate office procedures to improve efficiency and recommend improvements. Youll provide administrative support to the COO and work with our communications department to ensure our dispersed staff are kept informed of company policies and procedures.

Essential Functions:

  • Serve as Point of Contact between property management company and our work offices (one in Torrance, one in San Diego). This entails scheduling occasional maintenance work and reviewing and processing invoices.

  • Source meeting spaces when theyre needed for large-group gatherings.

  • Ensure all offices are equipped with everything from office supplies to ergonomics to kitchen and bath supplies.

  • Point of Contact for all communications tools (hardware and software). Work with outsourced IT services to ensure equipment is inventoried and maintained. Reconcile invoices for vendors.

  • Ensure technology and telecommunications equipment (laptops, cell phones, tablets) are field-ready and properly maintained and inventoried. Provide customer service to phone users when needed, using the device management software tools in place.

  • Manage all mail and delivery operations.

  • Manage the inventory of new employee uniforms, which involves tracking and ordering.

Vendor/Contractors Management:

  • Coordinate with vendors for materials, supplies, equipment and services. Establish preferred vendor list for all purchasing needs at Arc.

  • Serve as Administrator for Amazon Business account (and any other enterprise systems) and routinely provide leadership with an analysis of spending.

  • Following internal guidelines ensure invoices and payments are accurate and tracked. Ensure we're following multiple layers of guidelines for purchasing equipment and for proper destruction of out-of-date equipment.

  • Continually review vendors to ensure we are getting the best pricing and service.

  • Ensure our company-owned vehicles are regularly serviced and well-maintained.

Customer Service & Communication:

  • Establish and maintain excellent customer service standards

  • Occasional errands or visits to our school sites.

  • Provide administrative and logistical support to COO and CEO

Required Knowledge, Skills and Abilities:

  • Operations and facilities management

  • Highly detailed oriented

  • High school graduate or equivalent a must, some college preferred
