The Operations Staffing Supervisor is responsible for the oversight of Golden Valley Health Centers Medical Assistants Float schedules and templates by ensuring the highest level of attention to detail. In addition, the Operations Staffing Supervisor ensures schedule optimization to maximize productivity throughout the organization.

Schedule is Monday – Friday, Full-Time hours which flex between required availability.

Starting at $24.02 an hour

Essential Duties and Responsibilities

  • Demonstrates effective communication and problem solving skills.
  • Develops, maintains and ensures the accuracy of templates and master schedule for float support staff throughout the entire organization.
  • Responsible for the creating scheduling resources and templates for float resources, applies templates to calendars at appropriate intervals, blocks schedules with appropriate approval, and makes modifications based on policy and procedures.
  • Maintains float staffing schedules for the organization by tracking and utilizing a database while ensuring high quality standards are maintained.
  • Assigns float staff to locations based on scheduling needs.
  • Conducts audits and provides feedback to reduce errors and improve processes and performance.
  • Identifies and addresses support staff scheduling issues, evaluates and creates alternative routes and anticipates future needs.
  • Tracks time off coverage requests in order to assist in adequately staffing clinic sites.
  • Troubleshoots issues related to the scheduling system.
  • Prepares, keeps logs, and/or spreadsheet reports that monitors daily scheduling activity at a glance for the organization.
  • Provides timely communication to the health centers/departments within the organization when revisions (absences/schedule changes) are made to schedules (i.e. Health Center Managers, Supervisors, appropriate support staff, and other persons/departments as deemed necessary).
  • Plans and prepares any reporting tools that assist in determining required changes to schedules.
  • Ensures competencies and skills are assessed annually, at minimum, for all float staff
  • Ensures float medical assistants rotate and maintain experience with multiple specialties
  • Conducts annual evaluations and necessary performance improvement for float staff with input from supervisory staff
  • Performs employee evaluations and consultations for staff; Completes ADP timesheets, reviews requests for time off, makes necessary staffing adjustments in accordance to GVHC policies.
  • Tracks time off requests in order to assist in adequately staffed clinic site(s) and communicates with other sites, supervisors, and any other necessary GVHC employees regarding absences or schedule changes.
  • Track and approve all Travel and Expense Reimbursements according to policy.
  • Manage projects as assigned by the Director of Operations.
  • Attends meetings as designated.
  • Adheres to scheduling policies and communicates with proper personal and supervisor regarding deviations made.
  • Follow all safety rules while on the job. Reports accidents promptly and corrects minor safety hazards.
  • As needed, assists with preregistration, scheduling of patient appointments, and routing of calls.
  • Additional duties and responsibilities as assigned.

Min. Qualifications

KNOWLEDGE OF: Able to research and compile information, data collection, and utilizes data quality assurance methods.

SKILLS: Excellent organizational skills – ability to organize, take initiative and follow up independently; Proven time management, multi-tasking, prioritization and follow-up skills in a rapidly changing environment. Excellent verbal communication; Strong organizational and attention to detail, Proficient in MS Word & Excel.

ABILITY TO: Work with minimal supervision, meet deadlines and prioritize tasks; effectively interacts with operational and clinical personnel; collects, correlates, analyzes data elements, develops plans, manages work, and is able to problem solve and make decisions, while adhering to company standards and guidelines; Ability and initiative to streamline and suggest improved processes.

Physical Demands

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus.

Work Environment

The noise level in the work environment is usually quiet.

Education/Experience Requirements

  • High school diploma of GED Required
  • Experience in Next Gen EPM system preferred
  • Minimum of 1 year of supervisory experience and a high level of scheduling practice knowledge.
  • Excellent customer service skills.
  • Experience in the healthcare environment, MA preferred.
  • Requires moderate to intense concentration due to complexity and/or need to meet deadlines, and flexibility to readily adapt to a changing environment.
