Orange County Program of All-Inclusive Care for the Elderly (PACE) is dedicated to providing its participants with comprehensive health and social supports that are proven to effectively manage chronic conditions and to reduce the risk for premature institutionalization. Responsibilities:

The Orders Tracking Manager implements workflow modifications/changes to improve scheduling and authorization management in terms of both efficiency and quality. Provide oversight to Authorization Specialists, Scheduling, monitor all participant authorizations in the Electronic Medical Record (EMR) for accuracy and correct information. Assign duties and ensure completion of the necessary tasks to process authorizations in a timely manner.

Duties include but not limited to:

  • Audit EMR for authorization status, notifying individuals and leadership of any trends or issues relating to timeliness, error rates, or similar quality issues.
  • Create and monitor Key Performance Indicators (KPIs) of each authorization specialist to ensure optimal operational efficiency.
  • Assign specific tasks to support audit needs and action plans to Authorization Specialists
  • Compile and present audit findings to key Leadership Team members on a regular basis plus as requested, participating as a member of the Quality Improvement Team.
  • Manage the preparation and maintenance of reports necessary to carry out the functions of the department. Prepares periodic reports for management, as necessary or requested, to track strategic goal accomplishment.
  • Work closely with the scheduling, transportation department, participants, caregivers, and center staff. Effectively coordinate and communicate with all departments within PACE that are involved with the participant appointments.
  • Collaborate with the Claim Department to resolve issues related to authorization.
  • Collaborate with Provider Relations, scheduling team, and outside providers to facilitate an effective working relationship. Work closely with PACE leaders to ensure accuracy of all information.
  • Attend and participate in staff meetings, in-services, projects, and committees as assigned.
  • Adhere to and support the center’s practices, procedures, and policies including assigned break times and attendance.
  • Accept assigned duties in a cooperative manner; and perform all other related duties as assigned.
  • Be flexible in schedule of hours worked.
  • May require use of personal vehicle

Requirements:
  • Bachelor’s Degree or equivalent work experience required.
  • Minimum of one (1) years of documented experience working with a frail or elderly population

Is medically cleared for communicable diseases and has all immunizations up-to-date before engaging in direct participant contact.
