Storeroom Clerk

The Storeroom clerk is responsible for unpacking and packing goods, recording incoming and outgoing materials, conducting periodic stock inventories and monitoring the consumption of parts in SAP. The essential role is to ensure smooth storeroom operations and keep storerooms stocked, organized and clean. Other maintenance functions like Maintenance Planning and Scheduling, rely on this position every day, and would not be able to carry out their duties without these services provided by the Storeroom clerk.

Key Aspects / Responsibilities:

Parts management:

  • Receive new parts from the Purchasing and Warehouse Department, verify them against the original request, label them and place them in the corresponding bin location
  • Return parts damaged on receipt to the vendor and follow up on reordering
  • Monitor maximum and minimum inventories for parts. Run SAP reports to identify parts that need to be reordered and create the necessary purchase requests for the parts under the minimum stock level
  • Verify that the virtual location remains free of non-moving parts for more than 24 hours and resolve each case so that there are no conflicts between the stock level in SAP and the physical quantity on the shelves
  • Restock unused parts brought back by the technicians to the corresponding shelve and update the SAP inventory and the virtual location. Verify that restocked unused parts are in pristine condition and ready to be used in another job
  • Restock used or repaired parts that are in tested good condition and ensure that FIFO rules are met
  • Monitor that FIFO strategies are used for parts and materials. Ensure that tested good used parts are used first and before using new parts
  • Conduct and facilitate periodic internal and external cyclic counts. Ensure that corrections to the inventory in SAP are minimized and that adjustments are completed immediately
  • Monitor and keep track of vendor warranties for high value items and manage the process until the reception of replacement parts
  • Create and share periodic reports of parts received, parts consumed and parts on order waiting delivery to Maintenance Management
  • Identify and monitor slow moving and obsolete parts. Initiate the process of writing off and final disposition of these parts
  • Identify parts with delivery date overdue. Contact vendors and request new dates and delivery of parts

Planned Maintenance Kitting:

  • Receive parts requests for PMs from the Planner and Supervisor and create Purchase Requests in the system
  • Monitor and update SAP Work Orders (WO) with the estimated date of reception of parts based on information received by the vendors
  • Stage parts for PMs according to the parts lists of every PM WO that needs parts. Create the kits of parts to be used by the technicians
  • Notify the Planner and Supervisors when parts required for WOs are received and stage them in the proper location until use

Compliance:

  • Complies with all internal and external policies, procedures and regulations
  • Keeps work areas organized and sanitary according to set standards
  • Follows standard operating processes and procedures
  • Adheres to 5S GMP's, HACCP, OSHA and company policies and procedures
  • Responsible for own personal safety and safety of others in working area

Key Attributes for the Role:

  • Strong experience with a computer; ability to type and file
  • Good verbal & written communication skills, ability to receive and respond to work assignments; able to communicate effectively oral/writing
  • Follow oral and written instructions; maintain cooperative working relationships; demonstrate sensitivity to, and respect for a diverse population
  • Reads, writes, listens to, comprehends, communicates in English and applies information, knowledge and/or work-related documents
  • Read, comprehend, and work from plans and operating instructions
  • Good mathematics knowledge
  • Maintain detailed and accurate reports - keep computerized records and prepare reports
  • Establish and maintain a good working relationship with vendors
  • Basic knowledge of industrial machinery parts
  • Demonstrated time management skills and including multi-tasking and ability to meet deadlines
  • Works independently with limited supervision, interacting effectively with and quickly gaining the respect and support of staff

Education:

  • High school or GED
  • Achieve on-the-job certification and maintain annual currency in equipment, skills and knowledge through company and vendor training programs
  • Certifications related to the job are preferred

Experience:

  • Minimum, 2 years in similar position or related work experience
