POSITION: Patient Coordinator, Department of Administration
JOB DESCRIPTION:
The Patient Coordinator, who reports to the Office Manager, assists patients who have been scheduled for in-house diagnostic testing and works cooperatively with diagnostic technicians to ensure the efficient flow of test procedure/s and a positive patient experience. The Patient Coordinator also ensures that prior authorizations have been obtained, verified, and updated in accordance with the Healthcare Report Card and the requirements of the Axial Team. This “hub” position encompasses networking with Front Desk, Axial Team, and technicians—and can involve complex, confidential issues. The Patient Coordinator oversees and coordinates various administrative and technician-support tasks while achieving the successful completion of daily schedules. The position serves as a primary operational and clinical point of contact for numerous internal constituencies.
QUALIFICATIONS:
- High school diploma
- Minimum of 2 years of work experience in an office environment
- Proficiency in Microsoft software applications
- Excellent verbal and written communications skills
- Demonstrated sensitivity to customer needs
REQUIRED SKILLS:
- Committed to providing exceptional patient service
- Able to accurately review and analyze data
- Ability to delegate and explain specific tasks
- Effective communicator (verbally and in writing) with both medical and nonmedical staff
- Demonstrated problem-solving capabilities
HIGHLY DESIRABLE SKILLS:
- Ability to foresee potential problems and develop solutions
- Emotional intelligence—a requisite leadership skill
- Clerical experience
- Organized, goal-oriented, and able to multi-task
RESPONSIBILITIES:
- Reviews daily schedule gaps to identify and implement add-ons
- Ensures that all technicians meet their daily goals
- Communicates regularly with the Front Desk concerning add-ons and clerical errors
- Communicates regularly with the Axial Team to obtain the needed authorizations
- Plans seven days ahead to ensure that all schedules are filled
- Ensures that no “yellow faces” or “red faces” appear on the patient check-in screen
- Communicates with the Office Manager (or Director) throughout the day at three intervals (11 am; 2 pm; 4 pm) to monitor patient numbers
- Ensures that all relevant studies/reports are accurate/up-to-date (or have been ordered) before patients enter their examination rooms
