DESCRIPTION
We are currently looking for our first Payroll and Benefits Manager to join the team at Circle Medical Technologies. As we continue to grow, we are constantly searching for exceptional talent to be a part of our team. This role will Own and process all company invoices and payroll for multi-state employees based in the US and Montreal, Canada. In addition, this role will oversee and plan the day-to-day operations of group benefits programs (group health, dental, vision, short-term and long-term disability, worker's compensation, life insurance, travel plan, retirement plans, etc.). You will work closely with our Finance, People & Culture, and Operations teams. This position may be based out of our offices in San Francisco, California, or be remote in the U.S.

WHAT YOU’LL DO:

  • Build, own and document all payroll and benefits policies, processes, and administration for our Circle Medical employees.
  • Collaborate with key department stakeholders to evaluate, own and scale efficiencies in contractor and consultant invoices.
  • Launch global payroll implementation in Rippling for our Canada-based employees and international contractors in New Year.
  • Oversee and audit for accuracy of calculating wages, tax withholding, meal and rest breaks, and deductions associated with US and Canadian payroll and ensure quarter taxes are processed accurately in each US state.
  • Evaluate and revise internal processes to reduce administration costs, increase efficiency and move towards automation where possible.
  • Ensure the payroll and benefits system operates correctly and with all accounting systems and other People systems are accurate.
  • In partnership with the People & Culture team, ensure all pay policies comply with State, Federal, and Provincial requirements.
  • Manage internal and external payroll and benefits queries in a timely and professional manner
  • Manage annual open enrollment and implement new benefits programs
  • Review both short- and long-range cost estimates/projections and relevant statistical analyses regarding modifications in benefits programs and implementation of new programs.
  • Monitor administrative costs of benefits programs and recommend cost containment strategies, including alternative methods for administration and funding. Prepare budgetary recommendations and assist in the monitoring, verifying, and reconciling of budgeted funds.
  • Provide customer service support to internal and external customers. Develop communication tools to enhance understanding of the company's benefits package.
  • Perform other duties as assigned

WHAT YOU’LL BRING:

  • 3+ years experience processing US multi-state payroll, Canadian payroll, global contractor invoicing, and employee benefits administration experience.
  • Familiar with Federal, State, Local, and Provincial tax programs and process
  • Knowledge of accounting standards, payroll regulations, and compliance in both US and Canada
  • Confidence to deliver accurate and detail-oriented work in a fast-paced startup or entrepreneurial environment
  • Consistently professional in written and oral communication - including providing exemplary customer service for our employees.
  • Accountable, extremely detail-oriented, and organized
  • Knowledge of all pertinent federal and state regulations, filing and compliance requirements, both adopted and pending, affecting employee benefits programs, including the ACA, ERISA, COBRA, FMLA, ADA, Section 125, workers' compensation, Medicare, OBRA, and Social Security and DOL requirements.

  • Experience working in US Healthcare and tech
  • Experience with Rippling payroll & HRIS and Nethris payroll & HRIS
  • Experience implementing payroll and invoicing systems for exempt and non-exempt employees and contractor workforce
  • Experience with international payroll and/or payroll providers and working with EORs
COMPENSATION
In alignment with our values, Circle Medical has transparent salaries based on output levels and options to trade cash for stock.

This is a full-time, salaried position with an annual salary range of $65,000 to $85,000, plus generous vacation and full medical/dental/life benefits as well as 401K with matching.
