Personal Assistant to the CEO

We are looking for an experienced, trustworthy and organized full-time personal assistant to work with
Haylie Pomroy- a highly successful entrepreneur, best-selling author, scientist, nutritionist and CEO.

This role includes taking complete responsibility for scheduling the calendars of an extremely busy individual, both personally and professionally, handling confidential matters, arranging public appearances, securing travel arrangements and maintaining itineraries.

Meeting the various demands of the role is essential, even if it means doing things considered outside the normal scope of the job. The ideal candidate can work well under pressure, be capable of multitasking, and must be able to handle hectic work schedules.

The ideal candidate adapts well to a fast-paced entrepreneurial environment, demonstrates flexibility as timelines and priorities change and provides a high degree of attention and responsiveness to the employer's needs.

Key Responsibilities include:

● Manage complex calendars, schedule meetings, and maintain itineraries with exceptional future planning and follow-up skills.

● Ensure adequate time is scheduled for CEO to prep for meetings, filmings, review pre-reads and agendas, breaks and buffers, and sufficient lead time to meet time-sensitive and critical deliverables

● Coordinate frequent travel and handle all aspects of travel arrangements including transportation, hotel, and flight bookings. Assist in packing and making sure the CEO has everything they need to be successful on trips.

● Assist in planning photoshoots and filming. Scheduling photographers, hair, and make-up. Make sure all items needed for the shoot are accounted for and CEO has a clear breakdown of shot lists.

● Be proficient or willing to learn how to use a basic video camera to record, perform simple edits, and upload content

● Respond in near real-time to requests or issues that may arise throughout the day and be responsive to emails/texts/phone calls, with contact outside normal business hours. Ensure professionally written correspondence.

● Project management skills - using tools like Asana, Google Drive, Trello, etc, Additionally having the ability to think clearly about how breakdown complex projects into tractable steps and ensure that they get done

● Oversee and manage home maintenance and repair vendors, including scheduling appointments, obtaining quotes, and supervising work to completion.

● Manage all car maintenance ensuring service is up to date and cars are washed and full of gas weekly.

● Run weekly errands to pick up groceries, run to the post office, dry cleaning, and any other errands that the CEO might need assistance with.

Other Requirements:
● Must be able to work 40 hours per week
● There will be occasions when you will be expected to attend live events and travel and take the occasional call over the weekend
● Have demonstrable, proven experience providing personal assistance at an executive level.
● Be a proactive and independent thinker who is able to be “one step ahead” of the needs of the employer and is able to work efficiently under pressure and adjust to changing situations
● Ability to learn quickly and function well in a high-paced and at times stressful environment.
● Team player who is willing to grow and take on new challenges with a positive attitude
● Pet-friendly
● Strong attention to detail and ability to maintain accurate records.
● Ability to maintain confidentiality and discretion.
● A valid driver’s license and a reliable vehicle with insurance are required.
● English as the first written and spoken language
● Have experience working with Apple / Mac products

Hours: Full-time ( 40 hours a week)

Location: From the home office in Rolling Hills Estates, CA.

Salary: Competitive Salary

Job Type: Full-time

Pay: $60,649.00 - $66,498.00 per year
