Reporting to the Physician Support Supervisor, the Physician Support Specialist serves as the front line of support to the physician electronic medical record (EMR) needs. The Physician Support Specialist is responsible for ensuring physician end user expertise by providing appropriate training, guidance and support to make physicians as efficient as possible. This individual will analyze system reporting and rounding data to drive the development of revised and/or new functionality within the EMR and will be responsible for assessing clinical updates and deploying the functionality to end users. Additionally, the Physician Support Specialist will assist the organization in driving key strategic initiatives as they relate to the EMR, physician support and adoption.
1. Facilitates the operationalization of assigned Epic applications and related applications by delivering training and providing ongoing technical support.
2. Prepares materials, leads training and responds to end user questions. Delivers training according to established curricula for assigned applications. Follows lesson plans, adherers to training timelines and utilizes appropriate training materials. Provides one-on-one guidance as needed. Evaluates current curricula and assists with the development and improvement of lesson plans, training materials and proficiency evaluation.
3. Leads out on all physician adoption initiatives as it relates to the EMR system. Analyzes needs and creates content for new modules. Evaluates and implements necessary changes to add-on modules such as EpicCare Link and drives formal and informal training initiatives as necessary.
4. Holds focus groups with key physician stakeholders and works with the Chief Medical Information Officer (CMIO) to evaluate training improvements. Assists Instructional Designers in developing materials to support training materials and delivery.
5. Conducts regular physician drop-in labs to support physicians with personalization of the system, efficiency training, optimization items and workflow issues.
6. Implements and monitors annual quality reporting requirements for implementation within the EMR, designs protocols for implementation and trains users on new functionality or requirements.
7. Works in conjunction with the Medical Staff Services and physician outreach teams to identify new physicians joining the organization and prepare them for working in the EMR. Assists in the onboarding of these physicians by scheduling their training, conducting their training, providing at-the-elbow and personalization support and working with them throughout their time at NCH to develop their technical skills.
8. Manages classroom rosters, attendance, exams and training assignments within the Learning Management System. Tracks proficiency benchmarks and training progress of end users to ensure training goals are met. Identifies operating issues and trends to improve training or system functionality.
9. Provides “go-live” support for new physician offices transitioning to Epic, as well as all upgrades.
10. Participate in organizational strategies as defined by leadership.
11. Adheres to all Northwest Community Hospital standards, policies, and procedures.
1. Associate’s degree in a healthcare related field, information systems or training or an equivalent amount of relevant professional experience required.
2. Technical training experience required.
3. Certification or credential in an Epic physician application strongly preferred. Successful completion of credentialing within four weeks of hire.
4. Epic Systems experience preferred.
5. Demonstrated experience or ability to support physicians in a technical environment.
6. Effective oral and written communication skills.
7. A solid understanding of adult learning theory, human cognition and effective instructional design principles in a variety of educational settings, such as traditional classroom, self-directed study, web-based and computer-mediated environments is preferred.
8. The presentation skills necessary to provide training to audiences of all levels. Expertise in Microsoft Office software, distance learning theory and computer-mediated training software is preferred.
9. The ability to handle difficult learners and situations in a professional and courteous manner.
10. The collaborative skills necessary to function effectively in a team environment.
PHYSICAL REQUIREMENTS:
1. Requires very little physical effort. Requires occasional prolonged periods of standing. May require lifting or moving lightweight material, or rarely lifting or moving of heavy weight material.
2. The flow of work and character of duties involves normal mental and visual attention most or all of the time.
