Job Functions:

Prevailing Wage Reporting & Compliance Documentation – 55% to 60% of position:

  • Efficiently gather, organize and report company's paid wages and other project data to CA Dept. of Industrial Relations (DIR), in accordance with state public works contracting laws/regulations;
  • Accurately maintain records of completed and uncompleted DIR reporting for several WKA projects;
  • Timely provide documentation of company's public works laws compliance to company's public contracting clients or third-party compliance monitors, as requested;
  • Actively monitor compliance of company's subcontractors’ public works employee compensation and DIR reporting practices;
  • Periodically prepare and validate (test for accuracy) prevailing wage rate schedule updates in support of company’s in-office payroll functions;

Operations & Accounting Support Specialist – 40% to 45% of position:

  • Prepare special, billing support documents (lien releases, applications for payment, billing detail, etc. for attachment to client invoicing;
  • Submit requests for certificates of insurance (COA's) to company's insurance brokers, and ensure timely transmittal of COA's to requesting clients;
  • Determine correct application of client payments to company's invoices, through research in clients' automated vendor pay systems and company's billing records;
  • Provide telephone answering back-up (shared with other administrative staff)
  • Archive and purge physical and electronic files and documents;
  • Intuitively and respectfully interact with company's accounting, administrative support and project management team members- and with subcontractors and labor compliance monitors - to perform all the above functions.

Essential (Required) Qualifications:

  • Ability and desire to work cooperatively and professionally with other administrative and professional services team members;
  • 4+ years’ experience (F/T equivalent) working in team-oriented office administration or operations support environment;
  • High proficiency with Microsoft Office Suite (2010 or later), and PDF editing software;
  • Strong written grammar and punctuation skills- and application of this proficiency in daily email communications;
  • Ability to effectively self-organize and execute workflow of assigned responsibilities such that all reporting and request responses are both timely and reliably accurate
  • Ability to maintain composure and effectiveness in stressful or patience-testing situations;
  • Initiative and interpersonal tact to address and help resolve workflow and/or quality control problems or issues;
  • Experience using a multi-line phone system.
