Department Information


For more than 90 years, the Department of Pediatrics at Indiana University School of Medicine has provided comprehensive medical training for medical students, residents and fellows in addition to lifelong learning opportunities for practicing physicians. The department consists of 19 specialty divisions based at Riley Hospital for Children at Indiana University Health, which is ranked as one of America’s Best Children’s Hospitals in 10 out of 10 specialties in US News and World Report .

The Department of Pediatrics’ Adolescent Health Program addresses the unique developmental needs for young people between the ages of 11 and 21. This team of pediatrics specialists provides more than 40,000 adolescent clinical visits per year, is one of the preeminent academic training programs in the United States and brings in more than $3 million dollars per year in extramural research support. The Adolescent Health Program provides a range of health-related services for this stage of a young person’s development.

Job Summary


Department-Specific Responsibilities

  • Coordinates with the Fiscal Officer to manage the budget, track spending, and ensure compliance with relevant regulations.
  • Establishes and utilizes standard operating procedures (SOPs) for the program: In conjunction with faculty, the program coordinator will monitor and guide all research project teams within the program to ensure efficient daily operations and program adherence to study protocols, grant sponsor requests, IRB requirements, and university policies.
  • Provides first-line problem solving for program research staff: Provides direction to research staff in order to solve complex problems, meet project milestones, and troubleshoot potential barriers to project success.
  • Liaises with program faculty and administrators from multiple IUSM departments: Communicates with faculty concerning project progress, potential budgetary or personnel issues, or adverse research events. Establishes working relationships with departmental administrators in Pediatrics, Psychiatry, and Psychology, to assist faculty and staff with navigating differences in departmental policies and procedures.
  • Coordinates program-wide resources, events, and documentation.

General Responsibilities

  • Implements the organization's strategic vision and direction by developing, initiating, and/or supporting new programs and services, creating annual work plans, and operating within a board-approved balanced budget.
  • Ensures the maintenance of effective office management, financial management, record-keeping, and equipment and software.
  • Plans, directs and implements programs or events, including developing branding strategy and targeting audiences for these events.
  • Oversees or represents the program in communications to program participants, supporting institutions, collaborators in other units, community partners, vendors and the public. Troubleshoots and resolves issues and programs.
  • Provides mechanisms, training, and advice on a variety of issues such as budget management software and advanced strategies for timely spending of grant funds.
  • Oversees research and academic activities budgets for programs. Identifies funding requirements and funding sources to ensure adequate resources to sustain program goals. Leads grant writing.
  • Evaluates the performance of lower-level staff, recommends development and performance plans, promotions and disciplinary action and is accountable for consistent administration of university policies.
  • Keeps abreast of best practices to create and implement policies and procedures that deliver a quality program experience.

Qualifications


EDUCATION

Required

  • Bachelor's degree (Social behavioral sciences or health-related field)

Preferred

  • Master's degree in Psychology, Public Health, Business, or comparable field

WORK EXPERIENCE

Required

  • 5 years in related field

Preferred

  • 2 years of research experience

Working Conditions / Demands


This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Advertised Salary


The salary range for this position is $75,000 - $85,000. Salary determination is based on experience, skill level, education, and training.
