I. JOB OVERVIEW

Job Description Summary:
The Office of Medical Education plays an integral role in supporting the development, implementation, and evaluation of the GW Medical School curriculum, within the School of Medicine and Health Sciences. The Program Manager position is primarily responsible for providing professional administrative support for the department and the faculty, students, and staff in implementing the Undergraduate Medical School curriculum. The position is responsible for directly assisting faculty and students to enhance the academic experience. This incumbent is responsible for tasks, duties, assignments, and projects ranging in complexity and often requiring analysis, including leading project teams and providing coaching to other employees.
Responsibilities include:
  • Manages all workflows and cross-system alignment for MD program academic curricular calendars. Functions as lead project manager for the bi-annual academic calendar creation processes and ad hoc calendar changes.
  • Manages the day-to-day administrative support activities for the pre-clinical basic science block courses, which includes serving as the first point of contact for course directors on administrative matters and ensuring the development and maintenance of the block Blackboard sites. Confirms that students have met the appropriate requirements for the course, including assessments and attendance.
  • Primary administrator for special projects assigned by decanal and OME leadership. Provides general administrative support for the OME department proactively and as assigned, including all planned and ad hoc organizational needs.
  • Serves as primary process manager and lead proctor for all pre-clinical high-stakes examinations. This includes training proctor staff, providing input on specific proctoring guidelines, coordinating high-stakes exams for students, scheduling exam-review sessions with individual students, and serving as liaison with student affairs for students completing summer remediation examinations.
  • Constructs and designs Blackboard for MD courses. Develops a prescribed course-layout template. Oversees the organization and management of block course Blackboard sites throughout the academic year. Ensures teaching materials and session learning objectives are posted to Blackboard and aligned across curricular databases and record-keeping systems.
  • Serves as an ex-officio administrative support for standing and ad hoc curricular committees. Responsible for facilitating effective meeting management and supporting the work of the chair, voting faculty members, and all committee activity. Maintains meeting records and calendar. The incumbent must develop and apply a deep knowledge of ongoing initiatives and activities in the MD program curriculum to apply in other areas of the role.
  • Boundary spanning liaison to other GW and SMHS offices (e.g., GW IT, SMHS Operations, Center for Faculty Excellence) to maintain workflows and improve administrative processes.
  • Performs other work-related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning tasks that are logically related to the position.


Minimum Qualifications:

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization plus 2 years of relevant professional experience, or, a Master’s degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Proficient computer skills and in-depth knowledge of MS Office Suite, particularly Word and Excel.
  • Ability to learn new software quickly and to use technology to improve processes.
  • Experience working on various projects simultaneously.
  • Excellent communication skills, verbal and written.
  • Detail and goal oriented with the ability to focus on completion of specific projects.
  • Interested in working in higher education administration.
  • Ability to work with minimal direction and effectively manage multiple priorities for multiple parties and frequent changes in work assignments.
