Overview:
The American College of Obstetricians and Gynecologists (ACOG), a membership organization dedicated to improving the lives of all people seeking obstetric and gynecologic care, their families, and communities through supporting our members, is currently seeking a Program Specialist at our District II office in Albany, New York.

The Program Specialist will support the program daily operations, programmatic initiatives, administrative logistics, and events and activities of the District II office. Assist with networking and collaborating with leadership and stakeholders to ensure alignment with programs’ mission, goals, and objectives. Assist with document and resource review and development related to medical education and grant activities, reporting, and deliverables. Assist with the evaluation and development of program initiatives to promote program growth. Develop and maintain positive relationships with internal and external stakeholders. Effective in planning, prioritizing and executing tasks in a timely manner.

Responsibilities:
  • Provide administrative support including but not limited to proofreading, finalizing and distributing correspondence, meeting agendas, and meeting minutes; maintaining files for multiple projects; maintaining record of program budget expenditures and processing bills, invoices and travel requests; copying correspondence and documents; coordinating mailings; ordering supplies.
  • Evaluate current standard operating procedures (SOP); researching program issues, concerns and complaints; and recommending administrative strategies or changes.
  • Participate in the development and execution of program activities. Help prepare materials for grant continuations, applications, and reports and collaborate with leadership on new and current project deliverables.
  • Track progress and status of project deliverables to ensure successful outcomes of related goals and objective.
  • Assist with the preparation of reports for assigned projects.
  • Triage and coordinate responses to email and phone inquiries regarding district activities.
  • Schedule meetings and conference calls as necessary and develop agendas for calls and meetings.
  • Assist in the development and editing of promotion plans, including social media content and other electronic media resources, email blasts, newsletters, fact sheets, posters, tool kits, and other materials, in collaboration with leadership and appropriate ACOG teams. Share promotional materials and activities with outside organizations as applicable.
  • Coordinate logistics and planning for work group, committees, and other meetings and events.
  • Assist in project management activities and processes including project and event planning, coordination, prioritization, initiation, execution, and training when applicable; as well as in fostering collaboration of end-users and key stakeholders.
  • Keep the executive(s) advised of time-sensitive and priority issues, ensuring appropriate follow-up. Determine priority of matters of attention; redirect matters to appropriate team for resolution or resolve matters as appropriate.
  • Serve as a liaison between the executive, staff and external partners. This includes receiving and screening the executives phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls and emails appropriately for resolution.
  • Perform other duties as assigned.
Qualifications:
  • Bachelor’s Degree and/or work equivalent required.
  • 2-4 years of experience. Experience with project management, administrative support preferred.
  • Strong written and oral communication skills.
  • Knowledge of computers, including Windows, MS Office applications, and Adobe Acrobat
  • Excellent spelling and proofreading skills.
  • Ability to work with others, to meet deadlines and to handle a diverse workload.
  • Demonstrated ability to set own priorities and follow through on assignments.
  • Demonstrate good judgment and attention to detail.
  • Flexibility to work on several projects at once.
  • Ability to relate well to a variety of people.
  • Ability to travel.
