Position Summary:

The Project Coordinator will perform support activities for multiple Program Managers and the Department Manager. This position supports the Program Managers and project teams by using project management tools and processes to help deliver on the project goals and help ensures effective project administration and reporting. The Project Coordinator will act as a primary backup with assigned Program Managers during short term absences.

Duties and Responsibilities:

Responsible for supporting Project Management Office (PMO) with facilitating and set up of project meetings, creating necessary meeting material and producing notes upon completion of meetings.

a) Develops and provides weekly project team meeting agendas.

b) Takes meeting notes and provides meeting minutes.

c) Monitors and prepares upcoming schedule tasks and activity information for review.

d) Compiles monthly program review presentations

e) Supports the creation of files and tools to track and report across the Program Management Office.

f) Gather inputs from PMs on defined cadence (weekly, monthly, quarterly) and compile summary information.

g) Develop and execute complex reports used to manage the portfolio and make decisions

Document project statuses, generate project reports and follow up on outstanding tasks to keep stakeholders informed and to keep projects progressing forward.

a) Maintain and organize project documentation within project structures

b) Maintain regular project update materials weekly, monthly and quarterly.

c) Maintain and update project schedules.

d) Design and generate project reports with guidance from project leader.

e) Maintain and follow up on action items, risk logs and change logs.

f) Update resource plans with time entry data and reforecasts demand in accord with schedule changes.

Support the Project Management Office Manager on group documentation, metrics and status updates.

a) Execute PMO projects as assigned for the purpose of improving the level of project management competency across the site.

Effectively read, write and present information in the appropriate communication medium to specified internal and external stakeholders.

a) Read and interpret project updates, reports, spreadsheets and flowcharts.

b) Write and update project information, reports, and correspondence.

c) Effectively present information and respond to questions from Program Managers, team members, and stakeholders.

d) Use timely and appropriate communication methods within project teams and outward to customers.

e) Understand appropriate stakeholder communications to align project and group expectations.


Compile, review, organize and scan project specific data.

Submit/upload data to customers via secure sites.

Facilitate communications and priorities between departments per the guidance of the Program Manager.

Support billing and invoicing activities with customers and suppliers.

Gain detailed knowledge of the ERP system to assist with financial forecasting and reporting, tracing inventory transactions and monitoring inventory.

Requirements:


Qualifications:

To qualify for this position, an individual must possess the knowledge, training, experience and abilities required.

Education and Training

  • Associates Degree, Bachelor’s degree desired from an accredited institute of higher education; focus in Project Management, Engineering or Business Administration preferred

Experience:

  • Two years of experience in project management and participating on project teams; or an equivalent combination education and experience
  • Department of Defense program experience is highly valued
  • Experience using Microsoft Office products including Project, Word, Excel, PowerPoint, Outlook and Visio.
  • Experience relevant to project management and knowledge of the operational stages of projects.
  • Knowledge of project management methodologies, tools, software and principles and experience using such tools to help manage projects.

Other:

  • Must be willing to work overtime as required
  • Travel up to 10% of working time.

Pay:

Hiring Salary Range: $52,000 - $67,000

Insurance:

9 Paid Holidays

4 Wks. of PTO for New Hires.

Note: The final agreed upon compensation is based on individual education, qualifications, experience, and work location. This position is eligible for bonus.
