We count on our receptionist to interact professionally with our valued customers when they have questions or concerns. We’re looking for a highly skilled Receptionist to join our team, managing inbound and outbound phone calls, email requests, and face to face interaction with a friendly, helpful approach. The ideal candidate is a quick learner who can think on their feet and resolve any issues that come up with our customer-first business mentality. The most successful Receptionists have the communication and interpersonal skills needed to provide support, answer questions, and resolve issues in an efficient manner. Serving as the voice and face of our company, he or she will be integral to reinforcing our reputation for exceptional customer service.
Daily and Weekly Responsibilities:
-General administrative duties including answering phones, filing, faxing, preparing, and distributing documents, and photocopying
-Interact with customers, vendors, and visitors
-Provide backup for payroll process- track and verify time off for union employees, run payroll reports, organize, and file timecards, etc.
-Prepare outgoing mail, pick up & distribute incoming mail (notify staff that mail has arrived)
-Assist with meeting room setups and cleanups, as needed
-Order office supplies
-Provide back up support for office administrators
-Maintain daily recordings, and log and document issues and resolutions in an electronic database for sales and executive management teams to review
Skills and Qualifications:
-High school diploma or equivalent
-3 years’ experience in a related role
-Strong written and verbal communication skills
-Computer experience
-Ability to take direction, ask appropriate questions and possess a strong sense of urgency
-Must possess excellent organizational skills, integrity and demonstrate a positive attitude
-Will need good reasoning skills and problem-solving ability
-Good professional demeanor and excellent customer service skills
