Overview:
Corporate office on North Michigan Avenue, with professional and collegial atmosphere, has an opportunity for a confident individual with exceptional communication skills and a proven history of successfully juggling multiple tasks (academic and/or work related) to serve as a full-time receptionist. The individual should be personable, approachable and maintain a professional appearance as s/he will be interacting closely with employees at all levels of the Company as well as external guests, vendors and investors. This in-office opportunity requires superb organizational skills, ability to anticipate and service needs of colleagues, visitors, and ensure smooth office operations.
Responsibilities of the Corporate Receptionist include:
- Facilitating incoming phone calls (screening and directing calls to the appropriate personnel).
- Greeting & attending to visitors.
- Maintaining meeting room schedules & set-up conference room for meetings
- Overseeing & placing orders for office/kitchen supplies.
- Sort and distribute mail, packages, deliveries that arrive at reception desk
- Maintaining organization of the reception and general office areas.
- Coordinating with vendors (offsite document storage, office equipment servicing, messenger service, etc.).
- Assist in overflow of administrative tasks, when needed (document filing, document courier, etc.)
Skills and Education:
The candidate must be proficient in Outlook email and calendar functions and very comfortable using Word and Excel. Exposure to using Microsoft Teams is a plus. Must have excellent oral and written communication skills and prior experience in an office/administrative setting. High school diploma or its equivalent is required, with strong preference for college coursework. Position requires mobility to ambulate for mail delivery and lift and carry up to 10 pounds for maintaining office/kitchen/conference room supplies, which may require bending and reaching.
