Job description
Summary: This position is responsible for opening the main office doors and conference rooms every morning, cleaning up the conference rooms to ensure they are presentable prior to client arrival. The receptionist position answers all incoming calls and filters them to the correct department with all of the pertinent details. Reception will greet all guests and direct them to the correct area. Miscellaneous projects will be assigned dependent on availability. The receptionist is to maintain a professional and presentable front area at all times while ensuring clients are handled in a prompt and courteous manner.
Essential Duties and Responsibilities:
- Ability to sit or stand long periods of time (4 -6 hours)
- Work collaboratively with all departments
- Provide excellent client service via phone call and email to clients, staff, and court reporters
- Filter all incoming phone calls to the appropriate team member
- Maintain a professional atmosphere at the front desk and in conference rooms
- Ensure conference rooms are checked daily for supplies and cleanliness and weekly for electrical outlets
- Direct clients and deliveries to the appropriate area upon arrival
- Initiate phone conferences upon request
- Maintain up to date employee phone list
- Ensure all clients are promptly taken care of in a courteous manner
- Miscellaneous projects dependent on availability
- Must be punctual and maintain professional environment
- Check mailbox and forward mail to Las Vegas
- Create FedEx labels to assist clients / affiliates / court reporters as needed
- Submit maintenance requests as needed to the building management
- Scan exhibits and produce transcripts as called upon
- Update and maintain exhibit binders and original transcripts
Essential Metrics:
- Ensure all conference rooms are prepped prior to the first clients arrival
- Complete all projects given within the time frame provide
- Ensure clients are attended to before any other task are completed
Job Requirements:
- Must be capable of working independently, in a fast paced environment, with minimal supervision
- Detail and goal oriented with strong analytical and problem solving skills
- Must have basic common sense and be able to think quickly
- Must be organized, detail-oriented, and be able to successfully multitask
- Exceptional written and verbal communication abilities
- Keyboard proficiency and intermediate competency with Word, Excel, Windows and Outlook
- Availability to work overtime, weekends, or holidays as requested
- Ability to properly lift 15 lbs.
- Team Player with the ability to positively support and contribute to the overall success of the organization
- Must adhere to company confidentiality and HIPAA policies
