JOB SUMMARY: The Receptionist/Resource Navigator greets client’s and guests at the Hickey Center and maintains a professional, comfortable and secure environment in the reception area while performing multiple administrative tasks. The position uses all available tools, including Office 365, to guide, coordinate and share existing and new resources with staff members and those seeking services.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Receptionist Duties
- Unlock side gates each morning upon arrival.
- Greet visitors/clients in a professional manner and promptly notify staff of the arrival of their appointments.
- Act as a gatekeeper and assign visitor badges to guests passing the front desk making sure they are escorted by a staff member.
- Monitor waiting room area(s) to make sure guests are comfortable, secure, and seen promptly.
- Distribute snacks and clothing to those in need.
- Act as back up to the administrative employee who is responsible for managing the conference room calendars.
- Act as a backup to the administrative employee who is responsible for processing, sorting, and distributing mail.
- Maintain log(s) for both incoming and outgoing packages. Promptly contact staff for pickup of packages for their department.
- Keep the front desk, waiting areas, and the media shelves clean and orderly.
Resource Navigator Duties
- Guide visitors and callers to the proper resources.
- Monitor the Agency’s ‘get help’ inbox and respond to inquiries.
- Research and verify new resources and keep existing resource information up to date.
- Use Office 365 tools to respond to staff inquiries about internal and external resources and to store and post resource information.
- Exchange information with other staff members in resource navigator roles to increase knowledge base and foster communication.
EDUCATION and EXPERIENCE:
- High school diploma or GED.
- 1 year of administrative/customer service related work experience in an office setting.
SKILLS and COMPETENCIES:
- Bilingual in English and Spanish.
- Ability to operate a multi-line telephone console.
- Customer service skills.
